Job Summary
We are looking for a proactive, organized, and people-oriented HR & Admin Executive to manage the day-to-day HR operations and administrative functions of the organization. The ideal candidate will ensure smooth office operations, maintain employee records, oversee attendance and payroll coordination, support recruitment, and foster a positive workplace culture. Since statutory HR compliances are outsourced, the role will primarily focus on operational HR, administration, employee engagement, and coordination with external compliance partners.
Key Responsibilities
Human Resources
- Manage end-to-end recruitment, including job postings, candidate sourcing, interview scheduling, and onboarding.
- Conduct employee induction and orientation programs.
- Maintain employee records, HR documentation, and personnel files.
- Manage attendance, leave records, and shift schedules.
- Coordinate payroll inputs with outsourced payroll/compliance partners.
- Handle employee confirmations, exits, full & final settlements, and documentation.
- Prepare HR letters, appointment letters, experience letters, and other employee-related documents.
- Address employee queries regarding HR policies and workplace issues.
- Support performance appraisal processes and employee development initiatives.
- Organize employee engagement activities, celebrations, and cultural events to enhance workplace culture.
- Assist in drafting and implementing HR policies and SOPs.
- Coordinate with outsourced consultants for statutory compliances, payroll, and labor law documentation.
Administration
- Oversee daily office administration and ensure smooth office operations.
- Manage office assets, stationery, housekeeping, security, and facility maintenance.
- Coordinate with vendors for office supplies and service requirements.
- Maintain office records, contracts, and administrative documentation.
- Handle travel arrangements, hotel bookings, courier services, and logistics.
- Manage office budgets related to administrative expenses.
- Ensure office infrastructure and utilities are functioning efficiently.
- Coordinate meetings, conference room bookings, and administrative support for management.
- Supervise AMC renewals, vendor contracts, and office maintenance schedules.
- Ensure workplace safety, cleanliness, and adherence to company policies.
Employee Relations & Culture
- Foster a positive and inclusive work environment.
- Plan employee engagement initiatives, festivals, birthday celebrations, and team-building activities.
- Support grievance handling and conflict resolution.
- Promote employee wellness and organizational culture initiatives.
Vendor & Purchase Reconciliation (Preferred but Not Mandatory)
(Accounts/Billing experience will be an added advantage.)
- Reconcile vendor bills, purchase orders (POs), delivery challans, and Goods Receipt Notes (GRNs).
- Coordinate with procurement and operations teams for invoice clarifications.
- Track vendor credits, returns, short supplies, debit/credit notes, and adjustments.
- Maintain accurate vendor documentation and reconciliation records.
- Assist in invoice verification and support the accounts team whenever required.
Required Skills

Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Commerce, or a related field.
- MBA/PGDM in HR is preferred.
- 1-2 years of experience in HR & Administration.
- Experience in vendor coordination, office administration, or basic accounts support will be an added advantage.
Preferred Candidate Profile
- Experience in handling HR operations and office administration simultaneously.
- Ability to work independently and manage multiple priorities.
- Exposure to payroll coordination and attendance management.
- Familiarity with procurement documentation (PO, GRN, invoices) is desirable but not mandatory.
- Positive attitude with a strong sense of ownership and accountability.
Pay: Up to ₹25,000.00 per month
