Job Summary
Rootwise Aesthetics is seeking a dynamic, process-oriented Clinic Manager to oversee end-to-end operations of our clinic. This leadership role demands high ownership, precision in execution, and the ability to lead multidisciplinary teams in delivering exceptional client experiences. The Clinic Manager will be accountable for day-to-day administration, client servicing, resource optimisation, revenue assurance, and overall clinic efficiency. The ideal candidate will have prior experience in managing premium healthcare, dermatology, or aesthetics clinics and will demonstrate an ability to balance operational discipline with a warm, client-first approach.
Key Duties and Responsibilities
- Ensure seamless daily operations at assigned clinic locations, including staffing, scheduling, supplies, client flow, and infrastructure readiness.
- Lead and manage a high-performing clinic team, including front-desk executives, therapists, and housekeeping staff; enforce accountability and training routines.
- Uphold excellence in client experience, ensuring SOPs for service delivery, complaint redressal, hygiene, and post-care follow-up are diligently executed.
- Oversee cash handling, billing, inventory, vendor coordination, and documentation to ensure financial discipline and regulatory compliance.
- Maintain close coordination with dermatologists/aesthetic practitioners and management to ensure alignment of clinical schedules, treatment planning, and promotional activities.
- Monitor and report on clinic KPIs (occupancy, lead conversions, footfalls, customer satisfaction, repeat visits, and operational costs) on a weekly basis to Senior Management.
- Implement cost control strategies, track consumable usage, and minimise pilferage through robust tracking and audits.
- Act as the primary escalation point for operational issues, coordinating solutions across departments.
- Ensure all processes align with brand standards, clinical protocols, and statutory regulations.
- Support marketing, sales, and event activations by ensuring clinic preparedness and internal team alignment.
- Drive continuous improvement by initiating training needs assessments, SOP updates, and innovation in workflow efficiency.
- Stay updated on advancements in clinical service delivery, patient care benchmarks, and client servicing innovations.
- Comply with all clinic policies and employee handbook.
- Work Hours: 10 a.m. – 7 p.m. Monday – Sunday, except for official holidays. [1 paid weekoff per week]
Skills Required
- Proven experience in clinical operations management or healthcare facility administration.
- Strong leadership and people management skills with a proactive, ownership-driven attitude.
- Excellent organisational skills with attention to detail, timeliness, and protocol adherence.
- Financial and inventory management acumen, including basic knowledge of billing, TAT, and vendor coordination.
- Proficiency in using clinic software, MIS systems, Excel/Google Sheets, and CRM tools.
- Exceptional communication and interpersonal skills.
- Ability to remain calm under pressure and resolve conflicts with empathy and assertiveness.
- Understanding of dermatological, aesthetic, or cosmetic clinic workflows will be an advantage.
- Professional demeanour with high ethical standards and discretion in client interaction.
- Excellent leadership and team management skills, with the ability to motivate and inspire team members.
- Results-oriented mindset with a track record of achieving sales targets and driving revenue growth.
- Strong analytical and problem-solving abilities, with data-driven decision making capability.
- Ability to work in a fast-paced environment and handle multiple projects simultaneously.
- Excellent English verbal and written communication skills.
