Position Overview:
We are looking for a proactive, organized, and customer-focused Front Office & Customer Service Executive to join our team. As the first point of contact for customers, you will be responsible for delivering an exceptional customer experience while ensuring the efficient day-to-day operation of the front office. The ideal candidate will manage customer interactions, coordinate service requests, prepare invoices, record payments, maintain inventory records, and provide administrative support. This role requires excellent communication skills, strong organizational abilities, and the capability to multitask in a fast-paced environment.
Key Responsibilities Customer Service
- Welcome and assist customers in person and over the phone in a professional and courteous manner.
- Respond to customer inquiries, provide information about products and services, and resolve issues promptly.
- Ensure a positive customer experience throughout the service process.
Service Coordination -
- Create and maintain service job cards with complete and accurate customer and vehicle details.
- Coordinate with the service team to track job progress and provide timely updates to customers.
- Schedule service appointments and manage follow-ups.
Billing & Payment Management
- Prepare accurate invoices for products and services.
- Process customer payments and maintain accurate financial records.
- Assist with daily cash reconciliation and payment tracking.
Inventory & Office Administration
- Record inventory transactions, monitor stock levels, and coordinate with relevant departments for replenishment.
- Maintain office supplies and ensure the reception and front office areas remain organized and presentable.
- Handle office correspondence, documentation, and other administrative tasks as required.
Qualifications
- High school diploma or equivalent (Bachelor's degree preferred).
- 1–3 years of experience in a front office, customer service, or administrative role, preferably in a service, automotive, or retail environment.
- Excellent verbal and written communication skills.
- Proficiency in MS Office, Google Workspace, and billing/invoicing software.
- Strong organizational and multitasking skills with excellent attention to detail.
- Ability to work independently and collaboratively in a team environment.
