Job Summary: We are looking for a proactive and professional Front Office Executive to be the face of Vecmocon Technologies. This role involves managing front desk operations, visitor handling, inbound/outbound material coordination, and providing general administrative support. The ideal candidate will combine strong communication and organizational skills with a customer-centric attitude, ensuring smooth office operations and a welcoming environment for visitors and employees alike.
Key Responsibilities
Front Desk Management & Visitor Assistance
- Greet, welcome, and direct visitors with a professional and friendly attitude, creating a positive first impression.
- Ensure visitors are comfortable and informed of wait times or protocols.
Visitor & Personnel Coordination
- Notify relevant personnel of visitor arrivals promptly.
- Maintain an accurate visitor log and manage visitor badges to ensure access control and security.
Material Records & Documentation
- Accurately record inbound/outbound materials and coordinate with internal teams for proper documentation.
- Oversee courier services (receiving, dispatching, tracking), maintaining material records.
Inbound Material Tracking & Database Maintenance
- Work closely with the inventory team to ensure accurate data maintenance.
- Use ERP software (Odoo, SAP, or equivalent) for tracking and reporting.
Reception Area Management & Compliance
- Maintain a clean, organized, and professional reception area.
- Conduct regular checks to ensure reception/waiting areas meet company standards.
Administrative & Office Support
- Handle incoming calls, inquiries, emails, and schedule appointments.
- Support office management with filing, data entry, and document preparation.
- Manage front desk and office supplies inventory, placing orders as needed.
Customer Service & Communication
- Act as liaison between visitors, clients, and internal teams.
- Handle customer queries in person, via phone, or email with timely responses.
Event & Meeting Support
- Coordinate meeting room bookings and ensure rooms are set up for meetings.
- Assist in organizing and welcoming participants during company events.
Qualifications
- High school diploma or equivalent (Bachelor’s degree preferred).
- Certification in Office Administration or related field is an advantage.
- 1–3 years’ experience in reception, administration, or customer service roles.
- Proficiency in MS Office (Word, Excel, Outlook) and Google Workspace (G-Suite).
- Familiarity with ERP software (SAP, Odoo, or equivalent).
