The Editorial Assistant will support the editorial team in managing publishing workflows from manuscript submission to final production. This includes formatting documents, tracking progress, coordinating with contributors and vendors, and ensuring adherence to editorial guidelines. The role is vital for maintaining efficiency, ensuring quality standards and facilitating clear communication throughout the publishing process. Key Responsibilities
1. Editorial Coordination
a) Format and prepare manuscript files for editing and review.
b) Track submissions, reviews and editorial decisions using established workflows.
c) Ensure consistency with style guides and templates during all editorial stages.
d) Follow up on pending tasks and submissions with contributors and internal staff.
2. Communication and Liaison
a) Act as a liaison between editors, authors, designers and proofreaders.
b) Manage routine correspondence, including sending reminders and compiling review feedback.
c) Provide clear, timely updates to stakeholders on project status.
3. Documentation and Quality Support
a) Assist in verifying references, captions and cross-references.
b) Consolidate and apply edits from multiple sources.
c) Maintain organised records of manuscript versions, approvals and editorial comments.
4. Administrative Support
a) Schedule editorial meetings and prepare meeting notes.
b) Manage editorial calendars, task lists and filing systems.
c) Generate progress reports and assist in preparing documentation for project audits or reviews.
5. Required Qualifications and Experience
a) Bachelor’s degree in any subject with English as the medium of instruction
b) Minimum 03 years of relevant experience in editorial or publishing environments.
c) Familiarity with the publishing process and editorial conventions.
6. Key Skills and Competencies
a) Excellent written and oral communication skills.
b) Strong attention to detail and organisational ability.
c) Proficient in Microsoft Office (especially Word and Excel) and Google Workspace.
d) Able to multitask and meet tight deadlines.
e) Basic understanding of style guides (APA, Chicago, in-house styles, etc.).
