Key Responsibilities
1. Process Mapping & SOP Adherence
- Coordinate and document all project alignment meetings.
- Prepare and circulate Meeting Minutes (MOM) and site delegation sheets before meetings.
- Maintain and update monthly client alignment meeting records.
- Ensure all project discussions, decisions, and action points are properly documented and communicated.
- Monitor adherence to internal SOPs and project workflows.
2. Coordination Between Teams
- Act as a central point of coordination between Design, Procurement, Execution, CRM, and Project teams.
- Conduct regular follow-ups with team members to ensure timely completion of assigned tasks.
- Track project progress and escalate delays or bottlenecks when required.
- Facilitate communication between departments to ensure seamless project execution.
3. Documentation & Process Tracking
- Create, update, and maintain delegation sheets for all team members.
- Ensure timely uploading and tracking of delegations, checklists, and MOMs.
- Generate performance and score sheets and coordinate with MIS for verification.
- Maintain accurate project records and documentation.
- Review design team updates and ensure process compliance.
- Organize and archive project-related documents systematically.
4. Vice President Coordination & Administrative Support
- Prepare and circulate the Vice President's weekly and monthly site visit schedules.
- Coordinate with CRM, Project Managers, Supervisors, Executive Assistant, and other stakeholders regarding site visits.
- Collect and maintain site visit MOMs and action reports.
- Support management with reporting, scheduling, and coordination activities.
5. Miscellaneous Coordination
- Handle project-related documentation, printing, and record maintenance.
- Coordinate snacks and meeting arrangements when required.
- Assist in sample coordination between supervisors, vendors, and contractors.
- Support teams with administrative and operational requirements.
- Coordinate with contractors and external stakeholders for follow-ups.
6. Attendance & Discipline Management
- Ensure adherence to company attendance and login/logout policies.
- Maintain punctuality and regular attendance.
- Attend all scheduled meetings on time.
- Follow leave approval processes and company policies.
7. Professional Conduct
- Maintain professionalism and confidentiality in all communications.
- Demonstrate strong organizational and interpersonal skills.
- Follow company policies, procedures, and ethical standards.
- Maintain a positive and collaborative work environment.
Required Qualifications
- Bachelor's degree in Business Administration, Management or a related field.
- 1–3 years of experience in operations coordination, or administrative support roles.
Required Skills

- Excellent documentation and record-management abilities.
- Proficiency in MS Excel, Google Sheets, MS Word, and PowerPoint.
- Good communication and interpersonal skills.

Pay: ₹15,000.00 - ₹25,000.00 per month
