About the Role
We are looking for a responsible and proactive Facility In-Charge to manage the day-to-day facility operations of our coworking space. The candidate will be responsible for ensuring a clean, safe, well-maintained, and fully functional workplace while providing timely support to members, clients, employees, vendors, and visitors.
The ideal candidate should have hands-on experience in facility management, maintenance coordination, housekeeping, security, vendor management, inventory control, and workplace operations.
Key ResponsibilitiesFacility & Maintenance Operations
- Manage the day-to-day facility operations of the coworking space.
- Conduct regular inspections of workstations, meeting rooms, common areas, pantry, washrooms, reception, and other facility areas.
- Ensure the facility is clean, operational, and ready for business every day.
- Monitor electrical, plumbing, HVAC/AC, lighting, furniture, fixtures, civil works, and other facility infrastructure.
- Coordinate preventive and breakdown maintenance activities.
- Attend to facility complaints and ensure timely resolution.
- Maintain daily maintenance and inspection records.
- Identify recurring issues and take corrective/preventive action.
Housekeeping & Hygiene
- Supervise housekeeping staff and ensure proper manpower deployment.
- Maintain high standards of cleanliness and hygiene throughout the coworking space.
- Regularly inspect washrooms, pantry, meeting rooms, common areas, and workspaces.
- Ensure timely replenishment of cleaning and washroom consumables.
- Coordinate deep cleaning, pest control, carpet cleaning, glass cleaning, and other specialized services.
- Address cleanliness-related complaints promptly.
Security & Safety
- Coordinate with security personnel and security agencies.
- Ensure visitor management and access-control procedures are followed.
- Ensure fire exits, emergency exits, staircases, and evacuation routes remain clear.
- Monitor fire safety equipment and coordinate scheduled inspections and servicing.
- Support fire drills, emergency preparedness, and evacuation procedures.
- Report and document accidents, incidents, safety issues, and security concerns.
- Ensure the facility follows required safety and operational standards.
Vendor Management
- Coordinate with housekeeping, security, maintenance, pest control, HVAC, electrical, plumbing, and other facility vendors.
- Monitor vendor manpower, attendance, quality of work, and service timelines.
- Ensure vendors comply with agreed service standards.
- Follow up on pending jobs and maintenance activities.
- Coordinate quotations, work orders, service reports, and invoices where required.
- Escalate vendor performance issues and ensure corrective action.
Inventory & Consumables
- Monitor stock of housekeeping, pantry, washroom, maintenance, and other facility consumables.
- Maintain accurate inventory records.
- Raise purchase/replenishment requests before stock-outs.
- Conduct regular physical stock checks.
- Monitor consumption and minimize unnecessary wastage.
- Ensure proper storage of facility materials and consumables.
Member & Client Support
- Respond promptly to facility-related requests and complaints from members and clients.
- Coordinate with the community and operations teams to resolve issues.
- Maintain a professional and customer-focused approach.
- Follow up until issues are completely resolved.
- Support member requirements related to meeting rooms, events, office setups, and special arrangements.
- Ensure the coworking space provides a professional, comfortable, and positive workplace experience.
Meeting Room & Event Support
- Ensure meeting rooms and conference rooms are clean and ready for use.
- Check basic functionality of AV equipment, displays, lighting, AC, power points, and furniture.
- Coordinate room setup for meetings, workshops, events, and client requirements.
- Provide facility support for events and special activities.
Utility & Cost Management
- Monitor electricity, water, AC/HVAC, and other utility consumption.
- Maintain utility readings and records.
- Identify opportunities for energy and operational cost savings.
- Coordinate with building management for utility and infrastructure-related issues.
- Ensure efficient use of facility resources.
Reporting & Documentation
Maintain accurate records of:
- Daily facility inspections
- Maintenance activities
- Preventive maintenance
- Breakdown complaints
- Vendor attendance and performance
- Housekeeping activities
- Security incidents
- Fire and safety checks
- Inventory and consumables
- Pest control
- AMC/service schedules
- Utility consumption
- Member/client complaints
Prepare regular facility reports for the Operations/Facility Manager.
Daily Responsibilities
- Conduct morning facility inspection.
- Check housekeeping, security, washrooms, pantry, AC, lighting, electrical and plumbing systems.
- Review pending maintenance issues.
- Coordinate with vendors and technicians.
- Resolve member/client facility complaints.
- Check meeting rooms and common areas.
- Monitor facility consumables.
- Update maintenance and inspection records.
- Conduct end-of-day checks where required.
Requirements
- 3–6 years of experience in facility management, coworking, commercial offices, hospitality, hotels, business parks, or similar environments.
- Diploma/Degree in Facility Management, Engineering, Hospitality, Operations, or a related field is preferred.
- Good knowledge of basic electrical, plumbing, HVAC/AC, civil, and general maintenance.
- Experience managing housekeeping, security, technicians, and external vendors.
- Good communication and interpersonal skills.
- Strong problem-solving and coordination abilities.
- Customer-service mindset.
- Good knowledge of MS Excel, Word, email, and basic reporting.
- Ability to manage multiple tasks and work under pressure.
- Willingness to handle urgent facility issues when required.
