Operating across consultancy, content, and academic verticals, The LexSphere serves individual clients, corporate entities, HR professionals, and law aspirants. With a rapidly growing digital presence and an active in-house team, we are looking for a sharp, organised, and proactive Office Coordinator to anchor our day-to-day operations.
Role Overview
The Office Coordinator will serve as the operational backbone of The LexSphere. This is not a passive administrative role - the person in this position will be expected to manage communication pipelines, coordinate across multiple internal teams, maintain documentation discipline, and ensure that every client touchpoint, internal deadline, and institutional process runs without friction. You will work directly alongside the founding team and interface with our creative, content, and legal functions daily.
Key Responsibilities
Client Coordination and Intake
- Manage initial client communication across WhatsApp, email, and phone channels with a professional and responsive approach.
- Coordinate client onboarding, document collection, and appointment scheduling.
- Maintain a clean record of ongoing matters, follow-up timelines, and client correspondence.
- Support the WhatsApp Broadcast and CRM pipeline by organising leads, tracking conversions, and flagging pending responses.
Internal Team Coordination
- Act as the coordination link between the legal team, content team, design function, and intern cohort.
- Liaise with the intern coordinator to track task assignments, submission deadlines, and intern performance records.
- Schedule and document team meetings, briefings, and review calls.
- Maintain a shared task tracker and ensure team deliverables are logged and followed up.
Administrative and Documentation Management
- Handle drafting, formatting, and dispatching of formal correspondence including legal notices, office communications, and client-facing letters under supervision.
- Maintain physical and digital filing systems for client documents, contracts, compliance records, and institutional paperwork.
- Track office expenses, vendor invoices, and coordinate with accounts for timely payments.
- Support the preparation of presentations, proposals, and service catalogues as directed.
Operations and Platform Support
- Coordinate with the content team on scheduling, deadlines, and platform requirements for YouTube, Instagram, and WhatsApp content rollouts.
- Assist in managing institutional collaborations, event coordination, and external outreach logistics.
- Monitor and manage the general inbox and ensure no query goes unresponded within defined turnaround times.
- Maintain office supplies, vendor relationships, and general infrastructure functioning.
Required Qualifications
- Graduate in any discipline (preference for Law, Commerce, or Management).
- Minimum one year of office coordination, administration, or legal office experience.
- Strong command over written and spoken Hindi and English - Hinglish communication comfort is a plus.
- Working proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Comfort with WhatsApp Business, basic email management, and digital file organisation.
- High attention to detail, particularly in documentation and correspondence.
Preferred Qualifications
- Background in or exposure to a law firm, legal consultancy, or compliance-driven work environment.
- Familiarity with content or creator business operations.
- Experience handling multi-channel client communication simultaneously.
- Basic understanding of labour law, POSH, or HR compliance terminology is an advantage - not a requirement.
