Job Summary
The Admin Head is responsible for overseeing and managing all administrative functions of the school, ensuring smooth day-to-day operations and maintaining a safe, clean, and efficient learning environment. The role includes supervision of infrastructure, housekeeping, transport, security, support staff, vendor management, statutory compliance, and general administration.
Key Responsibilities
1. School Administration
- Oversee the overall administrative operations of the school.
- Develop and implement administrative policies and procedures.
- Coordinate with various departments to ensure smooth functioning of school activities.
- Maintain records, documentation, and administrative reports.
2. Infrastructure Management
- Ensure proper maintenance and upkeep of school buildings, classrooms, laboratories, playgrounds, and common areas.
- Monitor preventive and corrective maintenance activities.
- Coordinate repairs, renovations, and infrastructure development projects.
- Ensure availability and proper functioning of utilities such as electricity, water supply, HVAC systems, and generators.
- Conduct regular inspections to maintain safety and quality standards.
3. Housekeeping & Facility Management
- Supervise housekeeping staff and outsourced housekeeping agencies.
- Ensure cleanliness and hygiene across the campus.
- Monitor inventory and procurement of housekeeping materials and consumables.
- Implement sanitation and waste management practices.
- Conduct regular audits to maintain cleanliness standards.
4. Transport Management
- Oversee the school transport system, including buses, drivers, attendants, and routes.
- Ensure compliance with transport safety regulations and school transport policies.
- Monitor vehicle maintenance, insurance, permits, and fitness certifications.
- Address transport-related concerns raised by parents and staff.
- Ensure student safety during transportation.
5. Staff Management
- Supervise administrative, maintenance, housekeeping, transport, and support staff.
- Allocate duties and monitor staff performance.
- Maintain staff attendance, discipline, and work schedules.
- Coordinate recruitment, onboarding, and training of non-teaching staff.
- Foster a positive and productive work environment.
6. Security & Safety
- Ensure effective security arrangements across the campus.
- Supervise security personnel and monitor visitor management systems.
- Implement emergency preparedness and safety protocols.
- Coordinate fire safety audits and mock drills.
- Ensure compliance with child safety and campus security guidelines.
7. Vendor & Asset Management
- Manage contracts and relationships with vendors, service providers, and contractors.
- Oversee procurement of administrative and maintenance supplies.
- Maintain records of school assets and equipment.
- Ensure cost-effective utilization of resources and budgets.
8. Compliance & Documentation
- Ensure compliance with local authorities, education board requirements, and statutory regulations.
- Maintain licenses, certificates, permits, and compliance records.
- Support management during inspections and audits.
9. Event & Logistics Management
- Coordinate administrative support for school events, examinations, meetings, and functions.
- Arrange logistics, facilities, and support services for school activities.
- Ensure smooth execution of events and programs.
