Job Summary
We are seeking a dynamic and experienced Purchase Executive to manage procurement activities for our civil construction projects. The ideal candidate will be responsible for sourcing, negotiating, and procuring quality materials, equipment, and services at competitive prices while ensuring timely delivery and adherence to project timelines and quality standards.
Key Responsibilities
Core Procurement Functions
- Collection of Quotations: Collect quotations from multiple vendors for all required materials and services to ensure competitive pricing.
- Negotiation: Negotiate prices, payment terms, and delivery schedules with vendors to achieve optimum cost savings without compromising on quality.
- Preparing Purchase Orders (PO): Prepare and issue accurate purchase orders to selected vendors as per approved requirements and specifications.
- Commercial Comparative: Prepare commercial comparative statements of vendor quotations to facilitate evaluation and decision-making.
- Approvals: Prepare and submit purchase proposals to the respective Head of Department (HOD) for approval before finalizing orders.
- Material Follow-up: Follow up with vendors to ensure timely dispatch and delivery of materials to the project site as per the delivery schedule.
Vendor & Relationship Management
- Supplier Relationship Management: Build and maintain strong, long-term relationships with suppliers to ensure reliable supply and favourable terms.
- Address supply issues proactively and track vendor performance regularly.
Coordination & Documentation
- Coordination with Store Department: Coordinate closely with the store department for timely and accurate Goods Receipt Notes (GRN) of received materials.
- Coordination with Accounts Department: Coordinate with the accounts department for timely invoice booking and processing.
- Timely Vendor Payments: Ensure timely release of vendor payments as per agreed payment terms and company policy.
- Maintain proper documentation of all purchase transactions, orders, bills, and records.
Sourcing & Inventory
- Source and procure construction materials including cement, steel, aggregates, bricks, timber, paints, plumbing and electrical items, waterproofing materials, formwork, and finishing materials.
- Identify, evaluate, and onboard reliable suppliers and vendors; maintain a robust vendor database.
- Coordinate with site engineers and project managers to assess material requirements and plan procurement schedules.
- Monitor stock levels and manage reordering to avoid shortages or overstocking.
Quality & Compliance
- Verify the quality and specifications of materials against approved standards and samples.
- Ensure compliance with company policies, statutory regulations, and tax requirements (GST, invoicing, etc.).
Qualifications & Requirements
Education:
- Bachelor's degree in Engineering (Civil), Commerce, Business Administration, or a related field.
- Diploma in Materials Management / Procurement / Supply Chain is an added advantage.
Experience:
- 2–5 years (Executive) / 5+ years (Manager) of experience in procurement, preferably in the construction or infrastructure industry.
- Hands-on experience with civil project materials and construction market dynamics.
Skills:
- Strong negotiation and communication skills.
- Proficiency in MS Office (Excel, Word) and ERP / procurement software.
- Good analytical and problem-solving abilities.
- Knowledge of local suppliers and construction material market.
- Ability to work under pressure and meet deadlines.
