Job Summary
The Executive Assistant (EA) to the Director will provide high-level administrative, strategic, and operational support to the Director. The ideal candidate will be highly organized, proactive, confidential, and capable of managing multiple priorities in a fast-paced business environment. This role requires excellent communication skills, strong business acumen, and the ability to coordinate across departments.
Key Roles & ResponsibilitiesExecutive Support
- Manage the Director's calendar, appointments, meetings, and travel schedules.
- Organize daily priorities and ensure timely follow-up on important tasks.
- Prepare agendas, presentations, reports, and meeting documents.
- Record meeting minutes and track action items until completion.
- Screen calls, emails, and correspondence, responding or escalating as appropriate.
Coordination & Communication
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Coordinate with department heads to ensure timely completion of assigned tasks.
- Follow up on projects, business initiatives, and deadlines.
- Schedule and coordinate management meetings and business reviews.
Business & Operational Support
- Assist the Director in strategic planning and execution of business initiatives.
- Track project progress and prepare status reports.
- Conduct research and collect market/business information as required.
Documentation & Compliance
- Maintain organized records of contracts, agreements, and legal documents.
- Ensure proper documentation of approvals and important decisions.
- Support compliance with company policies and procedures.
Confidentiality
- Maintain professionalism while dealing with employees, vendors, customers, and business associates.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- MBA or equivalent qualification will be an added advantage.
- 3–7 years of experience as an Executive Assistant, Personal Assistant, or similar executive support role.
- Experience in manufacturing, jewellery, retail, or corporate environments is preferred.
Required Skills
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Advanced knowledge of Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Excellent coordination and follow-up skills.
- Ability to work under pressure and manage multiple priorities.
