As part of our continued growth, we are looking for an energetic, organized, and proactive HR & Administration Executive to support our HR operations, administration, compliance, procurement, and front-office functions.
Position Summary
The HR & Administration Executive will play a key role in supporting day-to-day Human Resources, Administration, Procurement, Compliance, and Reception operations. The role requires a highly organized professional capable of coordinating multiple activities, ensuring smooth office operations, delivering an excellent employee and visitor experience, and maintaining compliance with organizational policies.
This position is ideal for candidates who enjoy working in a fast-paced corporate environment and are eager to contribute across multiple business functions.
Key Responsibilities
Human Resources
- Coordinate end-to-end recruitment activities, including sourcing support, interview scheduling, and candidate communication.
- Manage employee onboarding, induction, and joining formalities.
- Prepare and maintain employee documentation and personnel files.
- Update and maintain employee records in the HRMS.
- Monitor attendance, leave records, and employee data.
- Support employee confirmation, transfer, and separation processes.
- Coordinate Full & Final Settlement documentation.
- Assist in employee engagement initiatives and organizational events.
- Prepare HR reports, dashboards, and MIS reports.
- Coordinate employee grievance handling and day-to-day HR support.
- Ensure proper maintenance of confidential employee records.
Administration
- Coordinate with vendors for office supplies, maintenance, and facility-related services.
- Process Purchase Requisitions (PR), Purchase Orders (PO), and Goods Receipt Notes (GRN).
- Coordinate invoice verification and vendor payment follow-ups.
- Manage office maintenance, housekeeping, pantry, and security services.
- Monitor stationery inventory and office consumables.
- Maintain office assets and asset registers.
- Coordinate seating arrangements and workspace allocation.
- Manage employee ID cards and access-related documentation.
- Coordinate courier, postal, and logistics activities.
- Organize office meetings, employee events, and administrative support activities.
- Support travel bookings, accommodation, and transportation arrangements for employees and business visitors.
Reception & Front Office Management
- Manage the reception desk and ensure a professional front-office environment.
- Welcome visitors, clients, vendors, candidates, and business partners.
- Maintain visitor registration, issue visitor passes, and update visitor records.
- Coordinate visitor appointments and notify employees of arrivals.
- Handle incoming telephone calls and direct them appropriately.
- Manage the official reception email inbox and respond to general inquiries.
- Receive and distribute incoming documents, parcels, and official correspondence.
- Coordinate meeting room bookings and ensure rooms are prepared for meetings.
- Arrange refreshments and meeting logistics as required.
- Assist in interview coordination by welcoming candidates, verifying documents, and directing them to interview panels.
- Ensure reception, lobby, conference rooms, and waiting areas remain clean and professional.
- Coordinate with housekeeping, security, maintenance, and pantry teams for smooth office operations.
- Support emergency communication and visitor evacuation procedures.
- Maintain confidentiality of employee, visitor, and company information.
Compliance & Documentation
- Maintain employee files and statutory documentation.
- Support labour law compliance documentation.
- Coordinate audit documentation and record management.
- Maintain vendor agreements and compliance records.
- Update statutory registers and compliance trackers.
- Ensure documentation is accurate, complete, and audit-ready.

Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Commerce, Management, or a related discipline.
- MBA / PGDM in Human Resources or Administration is preferred.
- 2–3 years of relevant experience in HR & Administration within a corporate environment.
Technical Skills
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Experience with HRMS/ERP systems.
- Working knowledge of Google Workspace is an added advantage.
- Familiarity with procurement documentation (PR, PO, GRN).
- Experience in preparing reports and maintaining MIS.
Preferred Candidate Profile
- 2–3 years of hands-on experience in HR Operations and Administration.
- Experience in handling Reception or Front Office responsibilities will be an added advantage.

Pay: ₹10,764.41 - ₹32,532.07 per month
