Job Description (JD) – Front Desk Executive (IB School)
Job Summary:
The Front Desk Executive serves as the first point of contact for students, parents, staff, and visitors. The role involves managing the school reception, handling communications, supporting administrative functions, and ensuring a welcoming and professional environment aligned with the values of an International Baccalaureate (IB) school.
Key ResponsibilitiesReception & Visitor Management
- Welcome parents, students, staff, and visitors courteously and professionally.
- Maintain visitor logs and ensure compliance with school security procedures.
- Coordinate visitor appointments and meetings with school staff.
Communication Management
- Answer and direct incoming phone calls, emails, and inquiries.
- Provide accurate information regarding school programs, admissions, events, and policies.
- Communicate messages promptly to relevant staff members.
Administrative Support
- Assist with student attendance records and basic administrative documentation.
- Maintain and update school databases, contact information, and records.
- Support admissions and enrollment-related administrative processes.
- Prepare correspondence, reports, and other documents as required.
Student & Parent Support
- Address routine parent and student queries professionally.
- Coordinate with academic and administrative teams to resolve concerns.
- Assist during school events, parent-teacher conferences, and orientation programs.
Office Coordination
- Manage incoming and outgoing mail, couriers, and deliveries.
- Monitor reception area supplies and coordinate replenishment.
- Ensure the reception area remains organized, safe, and welcoming.
Qualifications
- Bachelor's degree in any discipline.
- 2–5 years of experience in front office, reception, customer service, or school administration.
- Experience in an international school environment is preferred.
Skills & Competencies
- Excellent verbal and written communication skills in English.
- Strong interpersonal and customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Ability to maintain confidentiality and handle sensitive information.
- Familiarity with school management systems is an advantage.

Pay: ₹18,000.00 - ₹24,000.00 per month
