Role Overview
We are looking for an Office Administrator who can manage day-to-day office administration, maintain records, coordinate with employees and candidates, support HR documentation, assist with compliance records and ensure that routine office work is completed in an organized manner.
This is a practical, hands-on role suitable for someone who is sincere, detail-oriented and comfortable handling multiple office responsibilities. The selected candidate will work closely with the management, accounts team, consultants and employees.
The role requires someone who can bring structure, discipline and follow-up to everyday office work.
Key Responsibilities:
Office Administration
- Manage day-to-day office administration and coordination.
- Maintain office registers, files, records and internal trackers.
- Coordinate courier, printing, scanning, filing, stationery and general office requirements.
- Coordinate with vendors, service providers, consultants and internal team members.
- Support management with scheduling, follow-ups, document preparation and routine office work.
- Ensure office documents are properly arranged and easily traceable.
Documentation and Filing
- Maintain proper physical and digital filing systems.
- Scan, rename, upload and organize documents in appropriate folders.
- Maintain Excel or Google Sheet trackers for documents, vendors, employee records, pending work and follow-ups.
- Assist in preparing basic letters, notices, summaries, lists and document sets.
- Ensure important company records are stored safely and retrieved quickly when required.
Employee Records and HR Support
- Maintain employee files, joining documents, ID proofs, bank details, appointment letters and other records.
- Coordinate with employees for pending documents, attendance details and routine HR-related requirements.
- Assist with joining formalities, onboarding documentation and exit documentation.
- Update HRMS or employee data trackers, wherever applicable.
- Support recruitment coordination by scheduling interviews, communicating with candidates and maintaining interview trackers.
Attendance and Payroll Coordination
- Maintain attendance, leave, absence and late-mark records.
- Coordinate monthly attendance and employee data with the accounts team for payroll inputs.
- Track pending employee documents required for salary processing or statutory records.
- Ensure attendance and employee-related data is checked and shared on time.
Compliance Documentation Support
- Assist in maintaining employee, office and statutory records.
- Support documentation related to PF, ESIC, professional tax, labour records and statutory registers, wherever applicable.
- Coordinate with CA, CS, HR consultants, legal consultants and other professionals for document requirements.
- Organize documents required for audits, inspections, internal reviews and management reporting.
- Maintain compliance files and supporting documents in a systematic manner.
Coordination and Follow-Ups
- Follow up with employees, candidates, vendors, consultants and internal departments for pending work.
- Maintain clear trackers for tasks, deadlines and document requirements.
- Support management with routine coordination and administrative execution.
- Ensure small but important office tasks are completed properly and on time.
Candidate Requirements
The ideal candidate should have:
- 1 to 4 years of experience in office administration, documentation, HR coordination, compliance support or back-office work.
- Good working knowledge of MS Excel, MS Word, email and Google Drive.
- Basic understanding of employee records, attendance management and HRMS will be preferred.
- Ability to maintain files, registers, trackers and documents properly.
- Basic knowledge of PF, ESIC, professional tax, payroll coordination or compliance documentation will be an added advantage.
- Good communication skills in English and Hindi. Marathi will be preferred.
- Strong follow-up ability and attention to detail.
- Ability to work independently and manage routine responsibilities without constant supervision.

As the company continues to grow, we are looking for a responsible and organized person to support office administration, employee coordination, documentation and internal compliance support.
Pay: ₹20,000.00 - ₹25,000.00 per month
