Position Title: Receptionist
Department: Administration
Location: MUMBAI, Nariman Point
Reports To: Office Manager or HR Manager
Key Responsibilities Front Office Management
· Greet and welcome visitors, clients, and employees in a friendly and professional manner.
· Maintain a clean, organized, and welcoming reception area.
· Monitor and manage visitor access, maintaining a visitor log as per company protocols.
Communication
· Answer, screen, and direct incoming phone calls promptly and efficiently.
· Handle inquiries and provide accurate information about the company’s products, services, or processes.
· Manage and distribute incoming and outgoing correspondence, including emails, mail, and courier packages.
Administrative Support
· Schedule and manage appointments, meetings, and conference room bookings.
· Assist with travel arrangements and accommodations for staff or visitors, as required.
· Maintain and update contact lists, office directories, and calendars.
Coordination and Documentation
· Assist in maintaining records related to office supplies, employee attendance, and visitor logs.
· Coordinate with other departments for smooth operational workflows.
· Ensure compliance with company policies and confidentiality standards.
Other Duties
· Assist in organizing internal events or meetings, including preparing materials and refreshments.
· Support HR or administrative teams with onboarding or document preparation as needed.
· Handle ad-hoc tasks assigned by the management.
Qualifications and Requirements
· Education: High school diploma or equivalent; a diploma or degree in administration is a plus.
· Experience: 1–3 years of experience in a receptionist or administrative role, preferably in a pharmaceutical or healthcare setting.
· Skills:
o Excellent communication and interpersonal skills.
o Proficient in MS Office (Word, Excel, Outlook) and familiarity with office equipment.
o Strong organizational and multitasking abilities.
o Ability to maintain professionalism and confidentiality.
Knowledge of the pharmaceutical industry is an added advantage
Working Hours: 9 AM – 6:00 PM, Monday to Saturday, (Sat Half Day)
