The Role
You will be the operational right hand to two directors across two distinct businesses. This is not a task-execution role. You will be expected to identify what needs to be done, figure out how, and get it done with minimal hand-holding.
The work spans admin, logistics coordination, marketing operations, and data analysis. Context switches are frequent. Ambiguity is constant. You should be energised by that, not paralysed by it.
What You Will Own
Executive & Administrative Support
Manage calendars, scheduling, and meeting coordination across time zones (UAE, India)
Own email triage, draft correspondence, and flag what needs director attention vs. what you can resolve
Track follow-ups, commitments, and deadlines — nothing falls through without a flag Prepare agendas, take meeting notes, and turn them into action items
Handle travel logistics, vendor coordination, and supplier communication
Marketing Operations
Monitor social media analytics, compile weekly/monthly performance reports, and flag anomalies
Data & Reporting
Pull, clean, and summarise data from Apollo, social platforms, and Odoo into digestible reports
Build and maintain simple trackers and dashboards (Google Sheets or Odoo) Monitor pipeline activity in Odoo, flag stale deals, and keep CRM data accurate
Produce weekly business snapshots
General Initiative
Identify inefficiencies and propose fixes without being asked
Research vendors, tools, or market data when directors need quick intelligence
Handle ad-hoc tasks, if it needs doing, you figure out how
What We Are Looking For
Non-Negotiable
3+ years in an EA, operations, or business support role — ideally supporting founders or senior executives
Excellent written English — you will draft emails and reports that go to clients and partners
Proven ability to operate with high autonomy and manage competing priorities without constant direction
Comfortable with ambiguity — you ask the right question once, then move
Reliable, responsive, and accountable — if you commit to a deadline, you meet it or flag early
Tools You Must Know
- Apollo.io — contact research, list building, sequence management Odoo — CRM, inventory, or ERP modules (any version; depth matters more than version) Social media platforms and their native analytics (LinkedIn, Instagram minimum) Claude / AI tools — you use AI to work faster, not as a crutch; you know the difference Google Workspace — Sheets, Docs, Drive, Gmail at a proficient level
Strong Advantage
Experience supporting a trading, distribution, or physical goods business
Background in or exposure to digital marketing agency workflows
Canva for basic graphic/content work
Familiarity with GCC or UAE business culture
What This Role Is Not
A role for someone who needs a detailed brief for every task
A 9-to-5 clock-in-clock-out position — you manage your time, but outcomes are what matter
A stepping stone for someone who wants to move into a different function in 6 months
An easy role — the businesses move fast and the directors have high standards
