Job Summary
We are looking for a proactive and detail-oriented Admin Executive to support our day-to-day administrative operations. The ideal candidate will assist in tender documentation, coordinate with vendors, support procurement activities, maintain records, and ensure smooth office administration. This role is suitable for fresh graduates who are eager to learn and build a career in administration and operations.
Key ResponsibilitiesTender & Documentation Management
- Assist in preparing, compiling, and submitting tender documents.
- Maintain records of tender submissions, deadlines, and related correspondence.
- Coordinate with internal teams to gather required documents and information.
- Ensure compliance with tender requirements and documentation standards.
Vendor Management & Procurement Support
- Identify and coordinate with vendors and service providers.
- Obtain quotations and compare pricing, quality, and delivery terms.
- Assist in vendor negotiations to achieve cost-effective procurement.
- Maintain vendor databases, contracts, and performance records.
- Follow up with vendors regarding deliveries, invoices, and service requirements.
Administrative Operations
- Manage office documentation, filing systems, and record maintenance.
- Coordinate office supplies procurement and inventory management.
- Assist in scheduling meetings, preparing reports, and maintaining calendars.
- Handle incoming correspondence, emails, and phone calls.
- Support management in day-to-day administrative tasks.
Coordination & Reporting
- Liaise with internal departments and external stakeholders.
- Prepare MIS reports and maintain administrative records.
- Track pending tasks and ensure timely completion of assigned responsibilities.
- Support process improvement initiatives and operational efficiency.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or any related field.
- Freshers are encouraged to apply.
- Basic knowledge of MS Office (Excel, Word, PowerPoint).
- Good communication and interpersonal skills.
- Strong organizational and documentation abilities.
- Ability to multitask and work in a fast-paced environment.
