Job Summary
The Executive Assistant (EA) to the Managing Director will provide high-level administrative and operational support to the MD. The role requires excellent organizational skills, discretion, communication abilities, and the capability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage the MD's calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, prepare agendas, and record minutes of meetings (MOM).
- Draft, review, and manage correspondence, emails, reports, presentations, and other business documents.
- Act as a liaison between the MD and internal departments, clients, vendors, and external stakeholders.
- Follow up on action items and ensure timely completion of tasks assigned by the MD.
- Organize and maintain confidential records, files, and documents.
- Assist in preparing business reports, MIS reports, presentations, and management reviews.
- Coordinate company events, board meetings, and management meetings.
- Screen and prioritize communications, ensuring urgent matters receive immediate attention.
- Support the MD in strategic initiatives, project coordination, and special assignments.
- Maintain strict confidentiality regarding business and management matters.
Required Qualifications
- Bachelor's Degree in Business Administration, Management, Commerce, or a related field.
- 2-3 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational, time-management, and multitasking abilities.
- Professional demeanor and ability to handle confidential information.
Preferred Skills
- Experience working with senior leadership or directors.
- Strong coordination and follow-up skills.
- Knowledge of business correspondence and corporate etiquette.
- Ability to work independently and under pressure.
- Excellent presentation and documentation skills.
