Position: Purchase Executive

Reporting To: Purchase Manager
Job Summary
The Purchase Executive is responsible for sourcing, procuring, and ensuring the timely availability of quality materials, equipment, and services required for the smooth operation of the resort. The role involves vendor management, negotiation, inventory coordination, cost optimization, and compliance with company procurement policies while maintaining the highest standards of quality and service.
Key Responsibilities
- Source and procure goods and services in accordance with company policies and operational requirements.
- Obtain quotations, negotiate pricing, payment terms, and delivery schedules with vendors.
- Process Purchase Requisitions (PRs) and generate Purchase Orders (POs) accurately and within defined timelines.
- Ensure timely procurement of food & beverage, housekeeping, engineering, spa, and general operating supplies.
- Coordinate with user departments to understand procurement requirements and ensure uninterrupted operations.
- Develop and maintain strong relationships with approved vendors and identify new suppliers to improve quality and cost efficiency.
- Compare supplier quotations and conduct market analysis to achieve the best value without compromising quality.
- Monitor vendor performance with respect to quality, delivery, responsiveness, and contractual commitments.
- Ensure all purchased materials meet the resort's quality standards and specifications.
- Coordinate with the receiving and stores departments for timely inspection and acceptance of goods.
- Resolve discrepancies related to pricing, quantity, damaged goods, or delayed deliveries.
- Maintain procurement records, vendor documentation, quotations, contracts, and purchase files.
- Assist in monthly inventory planning and procurement forecasting.
- Ensure compliance with hotel SOPs, audit requirements, statutory regulations, and internal controls.
- Support departmental cost-saving initiatives through strategic sourcing and value engineering.
- Prepare procurement reports, spend analysis, and vendor performance reports as required by management.
- Stay updated on market trends, pricing fluctuations, and new products relevant to the hospitality industry.
- Perform any additional responsibilities assigned by the Purchase Manager or Management.
Required Qualifications
- Bachelor's degree in Commerce, Business Administration, Supply Chain Management, Hotel Management, or a related field.
- Diploma or certification in Purchasing, Materials Management, or Supply Chain Management will be an added advantage.
Experience
- 2–4 years of experience in Purchasing or Procurement, preferably in the hospitality industry.
- Experience in luxury hotels or resorts is preferred.

- Proficiency in Microsoft Office (Excel, Word, Outlook).
