About the Role: The Admin Executive is responsible for managing day-to-day administrative operations and ensuring the smooth functioning of the office. The role includes coordinating with internal departments, maintaining office facilities, supporting travel operations, managing vendor relationships, handling documentation, and providing administrative assistance to ensure efficient business operations.
Key Responsibilities:
Office Administration
- Oversee the daily administrative activities of the office.
- Maintain office records, files, and documentation.
- Ensure proper housekeeping and office maintenance.
- Manage office supplies and maintain inventory.
- Coordinate courier, postal, and stationery requirements.
Vendor Management
- Coordinate with vendors for office maintenance, housekeeping, security, and other administrative services.
- Obtain quotations, negotiate rates, and process vendor invoices.
- Monitor vendor performance and ensure timely service delivery.
Asset Management
- Maintain records of office assets and equipment.
- Coordinate repairs, servicing, and preventive maintenance.
- Ensure proper allocation and tracking of company assets.
Travel & Accommodation Support
- Coordinate hotel bookings and transportation arrangements for employees, guests, and tour staff when required.
- Support operational teams with administrative documentation related to tours.
- Maintain records of travel bookings and invoices.
Documentation & Compliance
- Maintain company agreements, licenses, and administrative records.
- Ensure proper filing of important documents.
- Assist in preparing reports and maintaining compliance-related documentation.
Employee Support
- Coordinate onboarding logistics for new employees.
- Arrange meeting rooms and office events.
- Support employee engagement activities and company functions.
Coordination
- Liaise with HR, Finance, Operations, and Sales teams for administrative support.
- Coordinate meetings and maintain meeting schedules.
- Handle incoming calls, visitors, and correspondence professionally.
Reporting
- Prepare daily, weekly, and monthly administrative reports.
- Track administrative expenses and support budget monitoring.
Required Qualifications
- Bachelor's degree
- 2–4 years of experience in administration
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Experience with office administration and documentation.
- Knowledge of vendor management and office operations.
