Dhwani Rural Information Systems is a social/development sector-focused advisory and consulting firm that develops IT applications for NGOs, government functionaries, CSRs, and international funding organizations to manage their projects and programs in India and abroad.
Job Overview:
The role involves system allocation, access management, vendor coordination, travel booking, and office operations management. You will be working closely with Founders, Strategy Manager, COO and HR.
Experience: 1–3 Years (Mandatory)
Location: Gurugram (In-Office Role)
Key Responsibilities
IT & Access Management
- Allocate laptops/systems to new joiners
- Create and deactivate Outlook email IDs
- Manage shared drive and internal tool access
- Maintain user access records
- Ensure proper data backups
- Ensure WiFi, internet, and printers are functioning
- Coordinate with DevOps for escalations
Onboarding & HRMS Coordination
- Create employee profiles in HRMS
- Ensure system and seating readiness before joining
- Manage asset allocation and recovery during exits
Office & Facility Operations
- Supervise office support staff
- Ensure office cleanliness and hygiene standards
- Coordinate vendors (housekeeping, internet, maintenance, pantry)
- Maintain inventory and office asset records
Travel, Logistics & Vendor Coordination
- Book flight/train tickets and hotels for client visits
- Arrange local travel when required
- Track and coordinate reimbursement documentation
- Compare vendor quotations and negotiate pricing
- Maintain vendor database
Corporate Gifting & Procurement
- Identify vendors for corporate gifts (festivals, client occasions, internal events)
- Compare quotations and finalize best pricing
- Ensure timely procurement and delivery
- Coordinate branding requirements where applicable
Documentation & Official Dispatch
- Handle official documentation with company stamp
- Coordinate courier dispatch (e.g., Blue Dart) to vendors/clients
- Maintain dispatch records and tracking details
Requirements
- 1–3 years experience in Office Administration / IT Support / Operations
- Strong Excel skills (VLOOKUP/XLOOKUP, Pivot Tables, formulas)
- Comfortable handling Outlook email creation and access control
- Experience with vendor negotiation and quotation comparison
- Experience managing travel bookings and reimbursements preferred
- Comfortable with occasional local travel (bank/vendor visits)
- Strong execution mindset and ability to work independently
- Professional communication and stakeholder coordination skills
- Bachelor’s degree
