The Accountant is responsible for managing the financial transactions, accounting records, statutory compliance, budgeting support, fee accounting, payroll coordination, and financial reporting of the institution. The role ensures accurate financial management, transparency, and compliance with regulatory requirements.
Key Roles and Responsibilities1. Financial Accounting & Bookkeeping
- Maintain accurate books of accounts and financial records of the institution.
- Record daily financial transactions in accounting software.
- Prepare journal entries, ledgers, cash books, and bank books.
- Ensure proper classification of income and expenditure.
- Reconcile accounts periodically and resolve discrepancies.
- Maintain supporting documents for all financial transactions.
2. Accounts Payable & Vendor Payments
- Verify bills, invoices, and supporting documents.
- Process vendor payments within approved timelines.
- Maintain records of purchase orders and payment vouchers.
- Reconcile supplier accounts and resolve payment issues.
- Ensure compliance with procurement and payment procedures.
3. Budgeting & Financial Planning
- Assist in preparation of annual budgets.
- Monitor budget utilization by departments.
- Prepare expenditure analysis and variance reports.
- Support management in financial planning and resource allocation.
- Provide financial data for strategic decision-making.
4. Banking & Cash Management
- Manage institutional bank accounts and transactions.
- Prepare bank reconciliation statements.
- Monitor cash flow and fund availability.
- Handle deposits, withdrawals, and online transactions.
- Ensure proper custody and accounting of cash.
5. Statutory Compliance & Taxation
- Ensure compliance with Income Tax, GST, TDS, PF, ESI, and other statutory regulations.
- Prepare and file statutory returns within prescribed timelines.
- Maintain records required for audits and inspections.
- Coordinate with auditors, tax consultants, and government authorities.
- Keep abreast of changes in financial regulations.
6. Financial Reporting
- Prepare monthly, quarterly, and annual financial statements.
- Generate management reports and financial summaries.
- Assist in preparation of balance sheets, income and expenditure statements, and cash flow statements.
- Provide financial data for governing body meetings and audits.
- Ensure timely submission of reports to management.
7. Audit Coordination
- Facilitate internal and external audits.
- Prepare audit schedules and supporting documents.
- Respond to audit observations and queries.
- Assist in implementation of audit recommendations.
- Maintain audit records and compliance reports.
Administrative Responsibilities
- Maintain confidentiality of financial information.
- Ensure proper filing and record management.
- Coordinate with departments regarding financial matters.
- Follow institutional policies and financial procedures.
- Support special projects and institutional initiatives as assigned.
Required Qualifications
- Bachelor's Degree in Commerce (B.Com) / Accounting / Finance.
- M.Com, MBA (Finance), CA Inter, CMA Inter preferred.
- Proficiency in Tally, ERP systems, MS Excel, and accounting software.
- Knowledge of taxation, payroll, and statutory compliance.
