We are looking for an HR Operations Specialist to manage and execute day-to-day HR operations while ensuring a seamless employee experience, accurate HR data, statutory compliance, and timely delivery of HR processes.
The role will work closely with employees, managers, Finance, IT, Administration, vendors, and other stakeholders to ensure smooth execution of employee lifecycle processes. The ideal candidate should be detail-oriented, process-driven, responsive, and comfortable managing multiple HR operations simultaneously.

- Manage end-to-end employee lifecycle processes including onboarding, employee documentation, transfers, confirmations, and exits.
- Ensure joining formalities, documentation, background verification, and HR system updates are completed within defined SLAs.
- Maintain accurate and updated employee master data and personnel records.
- Coordinate with IT and relevant stakeholders to ensure system and access readiness on the employee’s date of joining.
- Ensure timely completion of exit formalities, clearance, documentation, and HR-related separation activities.
- Coordinate monthly payroll inputs and ensure accurate and timely submission within payroll cut-off timelines.
- Validate attendance, leave, loss of pay, new joiner, exit, salary revision, and other payroll-related inputs.
- Coordinate with Finance/payroll vendors to resolve payroll discrepancies and employee queries.
- Support compensation-related activities including salary revisions, arrears, reimbursements, and other employee compensation processes.
- Maintain confidentiality and accuracy of payroll and compensation data.
- Support HR statutory compliance activities and ensure required records are maintained accurately.
- Coordinate compliance requirements related to POSH, Form D, LWF, and other applicable statutory requirements.
- Maintain statutory registers, records, declarations, and supporting documentation for audit readiness.
- Coordinate with external consultants/vendors for statutory compliance requirements and resolution of queries.
- Support internal and external HR audits and ensure timely closure of audit observations.
- Maintain accurate employee information in the HRIS/HRMS and ensure timely updates for employee movements and changes.
- Prepare and publish periodic HR MIS, dashboards, headcount reports, and management reports.
- Maintain HR trackers, employee records, MOMs, and operational reports with high accuracy.
- Ensure HR data confidentiality, access control, and appropriate handling of sensitive employee information.
- Support HRIS enhancements, system upgrades, testing, and implementation of new HR processes/modules. Identify data inconsistencies and ensure timely correction
- Act as a point of contact for employees on HR operational queries related to policies, payroll, attendance, leave, benefits, HR processes, and documentation.
- Resolve employee queries within defined SLAs and maintain proper query tracking.
- Provide clear, accurate, and consistent guidance on HR policies and processes.
- Identify recurring employee concerns and recommend improvements to HR processes.
- Maintain a professional and service-oriented approach while handling employee interactions.
- Support planning and execution of the annual/monthly employee engagement calendar.
- Conduct new-joiner pulse checks and coordinate periodic employee feedback initiatives
- Coordinate monthly celebrations, employee activities, team engagement initiatives, and cross-functional events.
- Work with employee engagement SPOCs to plan and execute activities effectively.
- Track participation, feedback, and outcomes of engagement initiatives.
- Support initiatives focused on employee connect, collaboration, and workplace culture.
- Support campus and fresher hiring activities including coordination with colleges, candidates, interview panels, and internal stakeholders.
- Provide recruitment coordination support for lateral hiring across functions.
- Schedule interviews, coordinate feedback, maintain recruitment trackers, and ensure timely candidate communication.
- Coordinate with hiring managers and interview panels to ensure smooth movement of candidates through the hiring process.
- Support recruitment documentation, offer coordination, and pre-joining activities.
- Contribute to improving candidate experience and hiring turnaround time.
- Identify gaps and inefficiencies in existing HR processes and recommend practical improvements.
- Develop, review, and maintain HR SOPs, process documents, checklists, and operational guidelines
- Support automation and digitization initiatives to reduce manual effort and improve turnaround time.
- Ensure adherence to defined HR processes and controls.
- Support periodic process reviews and implementation of corrective actions arising from audits or operational reviews.
- Coordinate procurement of supplies required for employee engagement activities and internal events.
- Manage procurement and distribution of office stationery and HR-related supplies.
- Raise and track purchase orders/requests and ensure timely delivery of required items.
- Coordinate with vendors and monitor service quality, cost, timelines, renewals, and payments.
- Maintain vendor records and support periodic vendor performance reviews.
- Coordinate procurement of e-stamp/e-stamp-related documentation and agreements through relevant banking/vendor channels.
- Maintain appropriate documentation for administrative purchases and vendor transactions.
- Strong understanding of HR Operations and Employee Lifecycle Management
- Good knowledge of Payroll, Attendance & Leave Administration
- Working knowledge of HR statutory compliance
- Experience with HRMS/HRIS and HR data management
- Strong MIS and Excel/Google Sheets skills
- Good stakeholder and employee management skills
- Strong attention to detail and data accuracy
- Good written and verbal communication
- Ability to manage confidential employee information

- 6 Months - 3 years of experience in HR Operations, HR Generalist, HR Shared Services, or a similar role.
- Experience working in a technology/product/SaaS organization will be an advantage.
- Hands-on experience with an HRMS/HRIS, payroll coordination, employee lifecycle processes, and HR MIS.
- Exposure to statutory compliance, employee engagement, recruitment coordination, and administration is preferred.
