Job Title: Manager – General Administration

Role and Responsibilities
Travel & Logistics
- Coordinate all employee and guest travel (domestic/international), including bookings, vendor coordination, compliance, and payment processing.
Facility Management
- Manage daily office operations, including housekeeping, maintenance, catering, staff welfare, and workplace safety.
- Oversee office maintenance contracts and optimize office space utilization.
- Coordinate office events, training logistics, and administrative process workflows.
Procurement & Inventory Control
- Manage vendor sourcing, onboarding (as per organizational policy), and procurement of office supplies and services.
- Monitor inventory levels, storage, quality, and maintain accurate stock and billing records.
Vendor & Bill Management
- Manage vendor contracts, including negotiations and compliance with legal and organizational requirements.
- Process vendor payments, resolve billing issues, and conduct periodic market reviews.
Petty Cash & Budget Oversight
- Manage petty cash, reimbursements, and expense tracking.
- Support the Finance team in preparing, monitoring, and maintaining administrative budgets and records.
Records & Communication Management
- Maintain organized physical and digital filing systems.
- Manage document flow, including indexing, courier, and postal services.
- Draft administrative communications, reports, and facilitate internal information sharing.
Assets & IT Coordination
- Maintain the organization's asset register.
- Coordinate procurement, maintenance, and repairs of office assets.
- Liaise with IT vendors for hardware, software, biometric systems, and employee ID cards.
HR & Executive Support
- Provide administrative support for HR activities, including attendance, leave records, onboarding, interview coordination, and employee engagement events.
- Provide logistical and administrative support to leadership as required.
Security & Access Control
- Manage office security systems, including CCTV, access control, and key management.
- Promote workplace safety and security awareness.
Compliance & Government Liaison
- Coordinate with government authorities, including transport, police, and licensing departments, as required.
- Ensure compliance with organizational policies, vendor agreements, and workplace safety regulations.
Business Continuity Planning (BCP)
- Support the planning, implementation, and monitoring of Business Continuity Planning initiatives.
Academic Qualifications
- Bachelor's degree in any discipline from a recognized university.
Professional Experience
- 10-12 years of experience in Administration, Office Management, Facilities Management, Vendor Management, or a similar role.
- Must have 1-2 years of experience working with an NGO/NPO.
