Job Overview
We are looking for a highly organized and detail-oriented Operations Executive to support and streamline our sales, marketing, and business operations. The role involves managing lead flow, CRM administration, sales quality monitoring, reporting, social media coordination, and business collaboration activities. The ideal candidate should possess strong analytical skills, operational discipline, and the ability to coordinate effectively across departments to drive business efficiency and growth.
Key ResponsibilitiesLead Generation & Pipeline Management
- Monitor and support lead generation activities across various marketing channels.
- Ensure consistent availability of qualified leads for the sales team.
- Track lead acquisition performance and identify opportunities for process improvement.
- Maintain a healthy and predictable sales pipeline through regular monitoring and reporting.
- Coordinate with marketing teams to improve lead quality and conversion potential.
Lead Management & Conversion Support
- Ensure timely allocation of leads to counsellors and sales representatives.
- Monitor lead follow-up activities and adherence to defined timelines.
- Track conversion rates across different stages of the sales funnel.
- Identify bottlenecks in the conversion process and recommend corrective actions.
- Maintain complete visibility of the lead lifecycle from enquiry to closure.
CRM Management & Data Governance
- Maintain accurate, updated, and complete records in the CRM system.
- Ensure proper lead tagging, classification, and status management.
- Conduct regular CRM audits to maintain data quality and integrity.
- Generate daily, weekly, and monthly operational reports.
- Analyze CRM data and provide actionable insights to management.
Sales Operations & Quality Assurance
- Conduct regular audits of sales calls and counselling interactions.
- Evaluate call quality, adherence to processes, and customer engagement standards.
- Identify performance gaps and prepare feedback reports for team leaders and management.
- Support the implementation of sales process improvements and best practices.
- Monitor key performance indicators (KPIs) and operational metrics.
Social Media Scheduling & Operational Coordination
- Coordinate scheduling and publishing of social media content.
- Ensure timely execution of content calendars and marketing campaigns.
- Minimise scheduling conflicts, delays, and operational disruptions.
- Act as a coordination point between marketing and sales teams.
- Support campaign tracking and lead attribution processes.
Business Collaboration & External Coordination
- Coordinate communication with external partners, universities, agencies, and vendors.
- Support partnership initiatives, business collaborations, and strategic alliances.
- Facilitate meetings, follow-ups, and documentation related to collaborations.
- Assist in preparing MoUs, partnership agreements, and business correspondence.
- Ensure timely follow-up on business opportunities and stakeholder communications.
Process Improvement & Administrative Support
- Identify operational inefficiencies and recommend process enhancements.
- Assist in developing and documenting standard operating procedures (SOPs).
- Support management with operational planning and execution.
- Maintain records, reports, and operational documentation.
- Perform additional administrative and operational tasks as assigned by management.
Requirements
- Bachelor's degree in Business Administration, Management, Marketing, Operations, or a related field.
- Minimum 1–3 years of experience in Operations, Sales Coordination, CRM Management, Business Operations, or a similar role.
- Strong proficiency in Microsoft Excel, Google Sheets, and CRM platforms.
- Excellent analytical, organizational, and reporting skills.
- Strong verbal and written communication skills.
- Ability to manage multiple tasks and work under deadlines.
- Detail-oriented with a problem-solving mindset.
- Experience in education, admissions, consulting, or service-based industries will be an added advantage.
