The Purchase, Procurement & Import Manager is responsible for managing the end-to-end procurement process, strategic sourcing, vendor development, domestic purchasing, international imports, logistics coordination, inventory optimization, and cost control. The role ensures uninterrupted availability of materials while maintaining quality, compliance, and commercial efficiency to support the company's manufacturing and business objectives.
Key Responsibilities1. Strategic Procurement
- Develop and implement procurement strategies aligned with organizational goals.
- Source raw materials, components, batteries, motors, controllers, tyres, chassis parts, electrical items, packaging materials, and indirect materials.
- Ensure timely procurement while maintaining quality, competitive pricing, and delivery schedules.
- Prepare annual procurement plans and purchasing budgets.
2. Vendor Development & Management
- Identify, evaluate, and onboard domestic and international suppliers.
- Conduct supplier capability assessments and audits.
- Negotiate pricing, payment terms, delivery schedules, warranty terms, and commercial agreements.
- Monitor supplier performance through KPIs such as quality, delivery, responsiveness, and cost competitiveness.
- Develop alternative vendors to reduce supply risk.
3. Import Management
- Manage end-to-end import procurement activities.
- Coordinate with overseas suppliers and manufacturers.
- Finalize Proforma Invoices (PI), Purchase Orders (PO), Commercial Invoices, Packing Lists, Bills of Lading, Airway Bills, Certificates of Origin, and other shipping documents.
- Coordinate with customs brokers, freight forwarders, shipping lines, and CHA.
- Ensure compliance with DGFT, Customs, ICEGATE, BIS, and applicable import regulations.
- Monitor shipment schedules and customs clearance to minimize delays.
4. Purchase Operations
- Issue RFQs (Request for Quotations).
- Perform comparative statement analysis.
- Negotiate commercial terms and finalize suppliers.
- Generate Purchase Orders through ERP.
- Track order execution until successful delivery.
- Resolve supplier issues relating to shortages, quality concerns, or delayed deliveries.
5. Cost Optimization
- Identify cost-saving opportunities through strategic sourcing.
- Conduct price benchmarking and market analysis.
- Negotiate annual rate contracts.
- Reduce procurement costs without compromising quality.
- Monitor procurement KPIs and budget adherence.
6. Inventory & Supply Planning
- Coordinate with Production, Stores, and Planning departments.
- Monitor inventory levels and reorder points.
- Avoid stock-outs and excess inventory.
- Ensure material availability based on production schedules.
7. Logistics & Supply Chain
- Coordinate inbound transportation.
- Monitor freight costs.
- Liaise with logistics partners for timely deliveries.
- Ensure safe handling of imported materials.
8. Documentation & Compliance
- Maintain procurement documentation.
- Ensure statutory compliance relating to procurement and imports.
- Maintain supplier contracts, NDAs, purchase records, and import documentation.
- Support internal and external audits.

Educational Qualification
- Bachelor's Degree in Commerce, Engineering, Supply Chain, or Business Administration.
- MBA / PGDM in Supply Chain, Operations, International Business, or Materials Management preferred.
Experience
- 5–12 years in Purchase, Procurement, Import, or Supply Chain.
- Minimum 3 years in a managerial role.
- Experience in the Automobile, EV, Manufacturing, Engineering, Auto Components, or Battery Industry is preferred.
- Hands-on experience with import procurement from countries such as China, Taiwan, Vietnam, or South Korea is an advantage.
