Job Summary
The Onboarding Executive will be responsible for managing the complete joining and onboarding process of candidates hired for the Tata Motors Sanand Plant. The role requires close coordination with candidates, recruiters, HR teams, medical vendors, and plant stakeholders to ensure smooth and timely onboarding while maintaining complete documentation and compliance.
Key ResponsibilitiesCandidate Onboarding
- Coordinate with selected candidates regarding joining formalities.
- Guide candidates through the complete onboarding process.
- Verify candidate documents before joining.
- Schedule joining dates and communicate reporting instructions.
- Ensure candidates complete all mandatory joining formalities.
Documentation & Compliance
- Verify Aadhaar, PAN, educational certificates, bank details, and other required documents.
- Maintain complete onboarding records in HRMS/Excel/Google Sheets.
- Ensure all compliance documents are collected before deployment.
- Track pending documents and follow up with candidates.
Coordination
- Coordinate with recruitment teams for daily joining plans.
- Liaise with Tata Motors HR and plant coordinators for onboarding schedules.
- Coordinate medical examinations, background verification, and ID card processing.
- Resolve candidate queries related to joining.
Reporting
- Prepare daily onboarding reports.
- Track offer acceptance, joining status, no-shows, and pending candidates.
- Share MIS reports with management.
- Maintain accurate onboarding dashboards.
Candidate Support
- Explain company policies and onboarding procedures.
- Assist candidates with PF, ESIC, bank account, and payroll documentation.
- Ensure a positive onboarding experience.
Eligibility Criteria
- Graduate in any discipline (MBA/HR preferred).
- 1–3 years of experience in Recruitment, HR Operations, or Employee Onboarding.
- Experience in manufacturing or staffing industry is preferred.
- Freshers with excellent communication skills may also apply.
Required Skills
- Strong communication and interpersonal skills.
- Good knowledge of MS Excel, Google Sheets, and Microsoft Office.
- Knowledge of onboarding documentation and HR compliance.
- Excellent coordination and follow-up skills.
- Ability to work under pressure and meet deadlines.
- Good organizational and problem-solving skills.
Key Performance Indicators (KPIs)
- Candidate joining ratio.
- Documentation completion within timelines.
- Daily onboarding target achievement.
- Reduction in no-show percentage.
- Accuracy of MIS reports.
- Candidate satisfaction during onboarding.
Working Hours
- 9:00 AM to 6:00 PM (or as per business requirements)
- Six-day working week.
Location
- Tata Motors Sanand Plant, Ahmedabad, Gujarat.
