Job Summary
The Inbound Warehouse Executive is responsible for managing all inbound warehouse operations, ensuring timely receipt, verification, quality inspection, system entry, storage, and documentation of incoming shipments. The role requires strong coordination with clients, transporters, internal stakeholders, and warehouse teams to ensure operational excellence while maintaining inventory accuracy and compliance with company SOPs.
Key Responsibilities
Inbound Operations
- Manage end-to-end inbound warehouse activities from vehicle arrival to put away.
- Coordinate with transporters and vendors for timely unloading of shipments.
- Ensure all inbound activities are completed within the defined SLA.
Shipment & Document Verification
- Verify shipment documents such as Invoice, Delivery Challan, E-way Bill, Packing List, ASN, and other relevant documents.
- Ensure physical shipment matches the accompanying documentation.
- Report discrepancies, shortages, damages, or excess quantities immediately.
Quality Inspection
- Perform quality checks on received materials before Goods Receipt Note (GRN) creation.
- Verify product condition, labelling, packaging, quantity, batch number, serial number, expiry date (where applicable), and product specifications.
- Coordinate with Quality and Client teams for damaged or non-conforming products.
GRN Process
- Create accurate Goods Receipt Notes (GRN) in the Warehouse Management System (WMS) or ERP.
- Ensure timely system updates with zero data entry errors.
- Maintain complete records of all GRNs and supporting documents.
Put away Operations
- Coordinate with warehouse associates for timely put away of received inventory.
- Ensure products are stored in designated storage locations following FIFO/FEFO or client-specific inventory practices.
- Monitor put away completion within agreed timelines.
Team Management
- Supervise and guide inbound warehouse associates and contract manpower.
- Allocate daily work and monitor productivity.
- Ensure adherence to warehouse SOPs and safety guidelines.
Inventory Accuracy
- Maintain high inventory accuracy during receiving and storage.
- Assist in cycle counting and inventory audits.
- Investigate inventory discrepancies and support corrective actions.
MIS & Reporting
- Prepare daily, weekly, and monthly inbound MIS reports.
- Track inbound performance metrics, pending GRNs, productivity, and SLA compliance.
- Share operational updates with management and clients.
Client & Internal Communication
- Communicate professionally with clients regarding shipment status, discrepancies, delays, and issue resolution.
- Coordinate with Operations, Planning, Inventory, Transport, Procurement, and Finance teams for seamless operations.
- Draft and respond to emails in a professional manner.
Process Compliance
- Ensure compliance with warehouse SOPs, client requirements, and company policies.
- Maintain proper documentation and records for audit purposes.
- Support implementation of Kaizen and continuous process improvement initiatives.
Safety & Housekeeping
- Follow warehouse safety regulations and ensure safe handling of materials.
- Maintain 5S standards within the inbound area.
- Report safety hazards immediately and support corrective actions.
Required Qualifications
- Minimum Bachelor's Degree (Graduation) from a recognized university.
- Diploma or certification in Supply Chain/Logistics will be an added advantage.
Experience
- 1–3 years of experience in Warehouse Operations, Logistics, or Supply Chain (Fresher with good MS Excel also be considered).
Required Skills
- Sound knowledge of inbound warehouse processes.
- Experience in document verification and shipment receiving.
- Knowledge of Quality Check, GRN, and Putaway operations.
- Basic knowledge of Warehouse Management System (WMS) or ERP.
- Good understanding of inventory management principles.
- Basic Microsoft Excel knowledge (VLOOKUP, Pivot Table, Sorting, Filtering, Basic Formulas preferred).
- Ability to prepare MIS reports accurately.
- Strong written communication skills in English.
- Good verbal communication in Hindi (Can speak & Understand), English & Kannada.
- Ability to coordinate with clients and cross-functional teams.
- Good analytical and problem-solving skills.
- Strong attention to detail and accuracy.
- Ability to work under pressure and meet operational deadlines.
- Team handling and coordination skills.
Preferred Skills
- Knowledge of any Warehouse Management System.
- Understanding of inventory control and warehouse KPIs.
- Experience in 5S, Lean, Kaizen, or Continuous Improvement practices.
- Knowledge of safety standards and warehouse compliance.
