Position Overview
We are seeking an experienced Institutional Sales & Tender Specialist with 5+ years of dedicated experience in identifying, bidding for, and securing high-value government and private sector contracts. In this role, your primary responsibility will be end-to-end tender lifecycle management—from tracking portals and analyzing eligibility to assembling competitive bids, managing empanelments, and closing institutional sales.
Key Responsibilities:
1. End-to-End Tender & RFP Management (Primary Focus)
- Continuously monitor e-procurement portals (e.g., GeM, central/state government portals, private RFP boards) to identify relevant business opportunities.
- Lead the complete tendering process: RFP/RFQ analysis, document preparation, technical and financial bid submission, and pre-bid meeting participation.
- Coordinate with internal cross-functional teams (Legal, Finance, Supply Chain, Technical) to collect required documentation, certificates, and commercial approvals.
- Manage post-submission processes, including technical evaluation queries, reverse auctions, financial opening, and contract award execution.
2. Empanellment & Vendor Registration
- Drive vendor empanelment processes with Government bodies, PSUs, Autonomous Organizations, and large Corporate entities.
- Maintain an up-to-date repository of institutional compliance documents, certificates, past performance records, and client testaments.
3. Client Relationship & Pipeline Management
- Build and nurture strong rapport with Procurement Officers, Purchase Committees, and key decision-makers across targeted institutions.
- Maintain a structured pipeline tracking submitted tenders, win/loss ratios, upcoming renewals, and rate-contract opportunities.
4. Commercial Negotiation & Compliance
- Ensure strict adherence to tender guidelines, compliance checklists, Earnest Money Deposit (EMD) requirements, and Bank Guarantees (BG).
- Lead price negotiations during contract finalization to optimize margins while remaining competitive.
Qualifications & Key Requirements:-
Education: Bachelor’s degree in Business, Commerce, Administration, or a related field (MBA preferred).
Experience: Minimum 5 years of hands-on experience in Institutional Sales with a proven track record in Tenders, GeM portal operations, and RFP bidding.
Key Skills:
- Deep expertise in government e-procurement platforms, tender portals, and reverse auction mechanisms.
- Exceptional attention to detail for documentation, compliance checks, and legal terms in tender contracts.
- Strong commercial acumen with experience managing EMDs, PBGs, and complex pricing structures.
- Excellent communication, presentation, and negotiation skills.
- Proficiency in MS Excel, MS Word, and standard CRM software.
