Position Overview
The Junior Executive – Human Resources is an entry-to-mid level position based at the Head Office. The incumbent will work closely with the HR Manager and the broader HR team to support the full spectrum of HR operations, including recruitment, onboarding, employee records management, payroll coordination, performance management, and compliance. This role provides excellent exposure to both the strategic and transactional dimensions of HR in a dynamic trading environment.
Key Responsibilities
1. Talent Acquisition & Recruitment
- Coordinate end-to-end recruitment activities including drafting job postings, screening resumes, scheduling interviews, and maintaining candidate pipelines for head office and store-level roles.
- Liaise with department heads to understand manpower requirements and prepare requisition documentation.
- Manage relationships with recruitment agencies, job portals, and campus placement partners.
- Conduct initial telephonic/in-person screening interviews for junior and mid-level vacancies.
- Prepare offer letters, appointment letters, and coordinate pre-joining formalities.
2. Onboarding & Induction
- Facilitate structured onboarding programmes for new joiners, ensuring a smooth transition into the organisation.
- Coordinate induction schedules, prepare orientation materials, and liaise with IT, Admin, and Finance for new hire setup.
- Track probation periods and ensure timely confirmation reviews are conducted.
3. Employee Records & HRIS Management
- Maintain accurate and up-to-date employee records in the Human Resource Information System (HRIS) including personal data, employment history, leave balances, and documentation.
- Ensure timely filing and safekeeping of all physical and digital employee files in compliance with data protection policies.
- Generate periodic HR reports on headcount, attrition, absenteeism, and other key metrics for management review.
4. Payroll & Attendance Coordination
- Assist in monthly payroll processing by collating attendance data, leave records, overtime, and variable pay inputs from departments.
- Coordinate with Finance for payroll disbursement and resolve salary-related queries from employees.
- Maintain accurate leave management records and administer the leave management system.
5. Performance Management
- Support the annual and mid-year performance appraisal cycle by circulating forms, tracking submissions, and maintaining appraisal records.
- Assist in preparing performance improvement plans (PIPs) documentation and follow-up scheduling.
- Coordinate 360-degree feedback collection and analysis as directed by the HR Manager.
6. Employee Relations & Engagement
- Serve as a first point of contact for employee queries related to HR policies, benefits, and procedures.
- Assist in planning and executing employee engagement initiatives, welfare programmes, team-building events, and recognition activities.
- Support grievance handling processes by documenting complaints, scheduling hearings, and maintaining confidentiality.
- Assist in conducting exit interviews and compiling attrition analysis reports.
7. Training & Development
- Coordinate training needs identification (TNI) exercises in liaison with department heads.
- Organise internal and external training programmes including scheduling, logistics, vendor coordination, and post-training feedback collection.
- Maintain a training calendar and track training hours, certifications, and skill development records.
8. Statutory Compliance & HR Administration
- Assist in ensuring compliance with applicable labour laws including the Shops & Establishments Act, PF, ESI, gratuity, and other statutory requirements relevant to the footwear trading sector.
- Support audits and inspections by preparing required documentation and reports.
- Draft HR communications including notices, circulars, memos, and policy updates.
- Coordinate with legal counsel for documentation related to employment contracts and disciplinary matters.
9. General HR Administration
- Maintain the HR department's filing systems, correspondence logs, and internal communication records.
- Support the HR team in special projects, policy reviews, and process improvement initiatives as assigned.
- Coordinate inter-departmental HR activities between head office and branch/store locations.
Qualifications & Educational Requirements
Minimum Qualification
Bachelor's Degree (B.Com, BBA, B.A. or equivalent)
Preferred Qualification
MBA / PGDM in Human Resources Management, or MSW (Master of Social Work) with HR specialisation
Experience
0–3 years of relevant HR experience. Freshers with strong academic records and internship experience are encouraged to apply.
Certifications (Desirable)
SHRM-CP, HRCI, or any recognised HR certification; Working knowledge of labour law compliance
Skills & Competencies
Technical / Functional Skills
- Working knowledge of HR processes including recruitment, payroll, and performance management.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) — Excel skills including VLOOKUP, pivot tables, and basic data analysis are essential.
- Familiarity with HRIS platforms (e.g., SAP HCM, Darwinbox, Zoho People, GreytHR, or similar).
- Basic understanding of Indian labour laws including PF, ESI, Gratuity, Shops & Establishments Act, and the Employment Exchange Act.
- Ability to draft professional HR communications, circulars, and policy documents.
