Job Summary
We are looking for a proactive, highly organized, and professional Executive Assistant to provide administrative and business support to the Director. The ideal candidate will be responsible for managing schedules, coordinating meetings, preparing reports and presentations, handling confidential information, and ensuring smooth communication between the Director and internal and external stakeholders.
This role requires strong organizational skills, business acumen, discretion, and the ability to manage multiple priorities in a fast-paced environment. The candidate should also be comfortable accompanying the Director on business meetings, conferences, and official events.
Key Responsibilities
- Manage the Director’s calendar, appointments, meetings, and travel schedule.
- Coordinate meetings, prepare agendas, record Minutes of Meeting (MoM), and follow up on action items.
- Accompany the Director on business travel, client meetings, conferences, and official events.
- Draft emails, business correspondence, reports, presentations, and other executive documents.
- Coordinate with internal departments to track projects, approvals, and deliverables.
- Act as the primary point of contact between the Director and employees, clients, partners, and vendors.
- Organize travel arrangements, including flights, accommodation, transportation, and itineraries.
- Prepare MIS reports, dashboards, and business summaries as required.
- Maintain confidential records, contracts, and executive documentation.
- Support the Director in strategic initiatives, research, and special projects.
- Handle sensitive information with the highest level of confidentiality and professionalism.
Qualifications
- Bachelor’s degree in Business Administration, Commerce, Management, or a related field.
- MBA is an added advantage.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Advanced knowledge of Microsoft Excel, Word, PowerPoint, and Google Workspace.
- Ability to multitask and work effectively under pressure.
- Strong coordination, follow-up, and stakeholder management skills.
- High level of professionalism, discretion, and confidentiality.
- Willingness to travel frequently with the Director.
Preferred Candidate Profile
- Experience supporting senior leadership, such as a Director, CEO, or Founder.
- Strong business acumen and problem-solving skills.
- Professional appearance and excellent interpersonal skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Experience in a FinTech, NBFC, Banking, or Financial Services organization is preferred.
Working Conditions
- Full-time, office-based role.
- Frequent domestic travel with the Director, if required.
- Flexibility to work beyond regular office hours based on business needs.
- Availability to travel at short notice.
