Key Responsibilities:
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls to the appropriate departments.
- Maintain a tidy and organized reception area.
- Handle incoming and outgoing correspondence (mail, couriers, deliveries, etc.).
- Schedule meetings, coordinate conference room bookings, and manage visitor appointments.
- Maintain visitor logs, security passes, and access cards in line with company policy.
- Arrange and coordinate travel bookings for staff, including flights, accommodation, transportation, and itinerary management.
- Liaise with travel agencies or vendors to secure cost-effective and efficient travel arrangements.
- Prepare travel expense reports and maintain related documentation.
- Support administrative and clerical duties such as data entry, filing, photocopying, and maintaining office supplies.
- Coordinate with housekeeping and facility teams to ensure the front office and common areas are well maintained.
- Perform any other duties assigned by management to support smooth office operations.
Qualifications & Requirements:
- Bachelor’s degree or equivalent qualification preferred.
- Minimum 1–4 years of experience in a receptionist, front office, or administrative support role.
- Experience in travel coordination or booking is an advantage.
- Excellent verbal and written communication skills.
- Proficient in MS Office (Word, Excel) and basic office equipment (printers, phones, scanners).
- Professional appearance and positive attitude.
- Strong interpersonal and customer service skills.
- Ability to multitask, prioritize, and manage time effectively.
