Job Summary
We are seeking a highly qualified, intelligent, and professional Executive Secretary to provide comprehensive administrative and executive support to senior leadership. The ideal candidate should possess exceptional English communication skills, excellent organizational abilities, and the highest level of professionalism and confidentiality. The candidate will act as a trusted liaison between the executive office and internal as well as external stakeholders.
Candidates with shorthand proficiency will be given preference.
Key Responsibilities
Executive Support
- Manage the Executive's calendar, appointments, meetings, and daily schedule.
- Coordinate domestic and international travel, hotel bookings, visa arrangements, and travel itineraries.
- Prioritize appointments and ensure efficient time management for senior management.
- Prepare daily schedules and follow up on action items.
Communication Management
- Draft, review, and proofread professional correspondence, emails, reports, presentations, speeches, and official documents.
- Handle incoming and outgoing communications with discretion and professionalism.
- Coordinate communication between management, clients, government authorities, vendors, and business associates.
- Represent the executive office professionally in verbal and written communication.
Meeting Coordination
- Schedule and organize board meetings, management meetings, conferences, and business events.
- Prepare meeting agendas and supporting documents.
- Record accurate minutes of meetings (MOM) and circulate them promptly.
- Track follow-up actions and ensure timely completion.
Documentation & Record Management
- Maintain confidential files, contracts, legal documents, agreements, and business records.
- Organize and manage physical and digital filing systems.
- Ensure all executive documents are updated, secure, and easily accessible.
Administrative Support
- Prepare MIS reports, presentations, and business summaries.
- Assist in preparing business proposals, tender documents, and official presentations.
- Coordinate with various departments to collect information and ensure timely completion of assignments.
- Monitor pending tasks and remind stakeholders of important deadlines.
Confidentiality
- Handle highly confidential information with integrity and discretion.
- Maintain complete confidentiality regarding company operations, financial information, strategic plans, and management decisions.
Required Qualifications
- Bachelor's or Master's degree in Business Administration, Commerce, Management, English, Secretarial Practice, or a related field.
- Professional certification in Secretarial Practice or Executive Assistance will be an added advantage.
- Shorthand proficiency is preferred.
Experience
- 5–10 years of experience as an Executive Secretary, Executive Assistant, Personal Assistant, or in a similar senior administrative role.
- Experience working with Directors, CEOs, Managing Directors, or Senior Executives is highly preferred.
Pay: ₹50,000.00 - ₹110,000.00 per month
