As our organisation continues to grow, we are looking for an exceptionally organised and proactive individual to work directly with the founders.
This is a high-ownership role with significant exposure to business strategy, operations, marketing, recruitment, project management, and executive support.
About The Role
This is not a conventional Executive Assistant role.
You will work directly with the founders and act as an extension of their office, helping ensure that important business initiatives move forward efficiently while also supporting selected executive and personal coordination responsibilities.
If you enjoy solving problems, coordinating multiple stakeholders, bringing structure to chaos, and making things happen, this role is for you.
Key Responsibilities
Founder Support
- Manage calendars, schedules, and appointments
- Coordinate meetings and travel arrangements
- Prepare meeting agendas and follow-up action items
- Draft emails, presentations, and documents
- Screen and prioritise communication where appropriate
Project Coordination
Track and coordinate execution across multiple business projects, including:
- Product launches
- Website development
- Recruitment
- Marketing initiatives
- Clinic expansion projects
- Vendor coordination
- Business process improvements
Ensure follow-ups continue until work is completed.
Business Operations
Coordinate with:
- Vendors
- Consultants
- Chartered Accountants
- Lawyers
- Architects
- Banks
- Technology partners
Maintain trackers, documentation, quotations, agreements, and project updates.
Recruitment & HR Support
- Coordinate interviews
- Schedule candidates
- Maintain recruitment trackers
- Support onboarding processes
- Assist with HR documentation
Executive Assistance
Support the founders with selected executive assistance responsibilities such as:
- Appointment scheduling
- Travel bookings
- Vehicle servicing coordination
- Courier and logistics coordination
- Family calendar coordination where required
- General administrative support
Cross-functional Coordination
Work closely with:
- Marketing Team
- Clinic Operations
- Accounts
- Pharmacy
- External Agencies
- Technology Vendors
to ensure timely execution of founder priorities.
