Company Overview:
We are a trade promotion and exhibition organizer specializing in B2B exhibitions, conferences and trade delegations across multiple industries. We are looking for an experienced Administrative and operations Executive for our expanding workforce.
Key Responsibilities:
- Support HR functions, including posting job advertisements, screening applications, coordinating interviews, and assisting with recruitment activities.
- Facilitate the onboarding process for new employees and maintain attendance records.
- Schedule meetings for market visits, and appointments, prepare meeting agendas, and record minutes.
- Coordinate with industry associations, chambers of commerce, trade bodies.
- Manage incoming and outgoing communications, including emails, telephone calls, and correspondence.
- Arrange travel bookings, hotel reservations, meeting schedules, and itineraries for management and delegations.
- Coordinate with hotels, venues, vendors, and service providers for outreach programs, seminars, conferences.
- Send invitations, confirmation emails, and follow-up calls for outreach activities, seminars, and events.
- Organize and maintain electronic and physical filing systems to ensure efficient record management.
- Welcome and assist company visitors, clients, and business delegates.
- Provide day-to-day administrative and operational support to senior management and various departments.
Qualifications:
- Bachelor’s degree in business administration, human resources, or a related field.
- 2+ years’ experience in HR and/or administrative role.
- Strong communication and interpersonal skills.
- Excellent organizational and time management skills.
- Proficiency in MS Office.
- High level of confidentiality and professionalism.
