About the Role
We are looking for a highly detail-oriented and deadline-driven Tender Specialist to manage end-to-end tender documentation and submission activities. This role is critical to business success, as even a minor documentation or compliance error can lead to bid rejection.
The ideal candidate will act as the “goalkeeper” of the tendering process, ensuring every submission is accurate, compliant, professionally formatted, and submitted within timelines.
Key Responsibilities
Tender Management & Documentation
Review RFPs, RFQs, EOIs, NITs, and tender documents thoroughly
Prepare and compile complete tender submissions as per bid requirements
Maintain document version control, indexing, checklists, and submission trackers
Coordinate with internal departments for required technical, financial, legal, and compliance documents
Ensure all documents are properly signed, stamped, notarized, and formatted as per tender conditions
Prepare compliance sheets, deviation statements, cover letters, and bid summaries
Portal Handling & Submission
Manage tender submissions on portals such as:
GeM
CPPP
IREPS
State eProcurement portals
Handle DSC signing, encryption, file compression, and upload management
Ensure submissions are completed before deadlines with sufficient buffer time
Compliance & Accuracy-
Verify accuracy of:
BOQ calculations
GST/PAN details
EMD/PBG requirements
Financial figures and supporting documents
Identify hidden clauses, eligibility conditions, and potential rejection risks
Ensure compliance with MSME, NSIC, Make in India, and other statutory requirements
Coordination & Follow-Up-
Follow up with OEMs/vendors for MAFs, authorization letters, catalogues, and supporting documents
Coordinate with CA, HR, Finance, and Project teams for certifications and records
Maintain confidentiality of pricing, commercial terms, and bid strategy
Required Skills-
Strong knowledge of:
MS Word, Excel, PowerPoint
Tender portals and DSC handling
Expertise in document formatting, indexing, and checklist management
Functional Knowledge & Understanding of complete tender lifecycle:
Pre-bid
Technical bid
Financial bid
Evaluation
Award
Familiarity with:
EMD/PBG
BG formats
Solvency certificates
GST returns
Balance sheets
Work orders & completion certificates
Soft Skills
Exceptional attention to detail
Strong deadline management
High level of ownership and accountability
Calm under pressure during critical submissions
Strong coordination and follow-up abilities
Eligibility Criteria
Graduate in any discipline
B.Com / MBA / Engineering/Law background preferred
3-5 years of experience in tendering, bid management, contracts, or proposal coordination
Preferred Qualifications-
Experience with GeM and government tender portals
Knowledge of legal/commercial clauses in contracts
Advanced Excel certification or GeM training
Experience handling large-value government or PSU tenders
