The Filing Officer is responsible for maintaining, organizing, and managing physical and electronic immigration records. The role ensures that all applicant files are accurately filed, easily retrievable, and handled in accordance with confidentiality and record management policies.
Key Responsibilities:
- Receive, sort, and file immigration applications and supporting documents.
- Maintain accurate physical and electronic filing systems.
- Retrieve files and records upon request from authorized staff.
- Verify that all required documents are complete before filing.
- Update file movements and maintain record registers.
- Ensure the confidentiality and security of applicants' personal information.
- Archive closed files and dispose of records according to office policies.
- Assist in preparing files for audits, inspections, and legal reviews.
- Coordinate with case officers and administrative staff to ensure proper document management.
- Perform general administrative and clerical duties as assigned.
Required Skills:
- Strong organizational and record management skills.
- Attention to detail and accuracy.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good written and verbal communication skills.
- Ability to handle confidential information with integrity.
- Time management and multitasking abilities.
Qualifications:
- Bachelor's degree in any discipline (preferred).
- Experience in document management, administration, or records management is an advantage.
- Basic knowledge of office procedures and document handling.
Pay: ₹25,000.00 - ₹35,000.00 per month
