Position Title: Senior Executive – Logistics
Department: Import - Exports & Logistics
Reporting To: Manager – Operations
Location: Manufacturing Unit, MIrzapur, Uttar Pradesh
Job Purpose
To manage and coordinate end-to-end domestic and international logistics operations for carpet exports, ensuring timely and cost-effective shipment of goods to international customers across the globe while maintaining compliance with export regulations, customer requirements, and shipping schedules.
Key Responsibilities
1. Export Shipment Planning & Coordination
- Plan and coordinate export shipments in line with customer delivery schedules and production completion timelines.
- Liaise with Production, Merchandising and Dispatch teams to ensure shipment readiness.
- Monitor order-wise shipment status from factory dispatch to final destination.
- Coordinate shipment prioritization based on customer commitments and business requirements.
2. Export Documentation
Prepare and verify export documentation including:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading (B/L)
- Airway Bill (AWB)
- Certificate of Origin
- Insurance Documents
- Inspection Certificates
- Fumigation Certificates (where applicable)
- Export Declaration Forms
- Ensure accuracy and timely submission of export documents to customers, freight forwarders, customs authorities, and banks.
3. Freight & Shipping Management
- Coordinate with shipping lines, airlines, freight forwarders, CHA (Custom House Agents), transporters, and logistics service providers.
- Obtain freight quotations and negotiate competitive freight rates.
- Select appropriate shipping modes based on cost, transit time, and customer requirements.
- Monitor vessel schedules, container availability, and booking confirmations.
- Track shipments and proactively address delays or transit issues.
4. Customs & Regulatory Compliance
- Ensure compliance with Indian export regulations and international trade requirements.
- Coordinate customs clearance activities and resolve customs-related issues.
- Maintain proper export records for audits and regulatory inspections.
- Stay updated on changes in international trade regulations, customs procedures, and export documentation requirements.
5. Customer & Overseas Coordination
- Communicate shipment updates to international customers and buying offices.
- Coordinate with overseas agents, distributors, warehouses, and fulfillment partners.
- Resolve shipment discrepancies, delivery issues, and documentation queries.
- Ensure compliance with customer-specific logistics and packaging requirements.
6. Warehouse & Dispatch Management
- Coordinate dispatch planning with warehouse teams.
- Ensure correct packing, labeling, palletization, and container loading as per export standards.
- Monitor loading efficiency and container utilization.
- Verify dispatch quantities against shipping documentation and customer orders.
7. Cost Control & Logistics Optimization
- Monitor logistics costs including freight, transportation, warehousing, customs clearance, and handling charges.
- Identify opportunities to reduce logistics costs and improve shipment efficiency.
- Analyze freight trends and recommend cost-effective logistics solutions.
- Maintain logistics budgets and cost reports.
8. Insurance & Risk Management
- Coordinate marine insurance coverage for export shipments.
- Handle claims related to transit damage, shortages, or shipment losses.
- Ensure adequate documentation for insurance claims and recoveries.
9. MIS & Reporting
- Prepare logistics and export performance reports.
- Maintain records of: Shipment schedules, Freight costs, Transit times, Export documentation
- Provide regular MIS reports to management.
10. Vendor Management
- Evaluate and manage relationships with:
- Freight Forwarders
- Shipping Lines
- Transporters
- CHA Agents
- Warehousing Partners
- Monitor vendor performance against service levels and cost parameters.
Specific Responsibilities
- Coordinate export logistics for hand-knotted, hand-tufted, machine-made, flatweave, and custom-made carpets.
- Manage shipment planning considering carpet dimensions, weight, volume, and container capacity.
- Ensure proper packing and moisture protection for carpets during international transit.
- Coordinate export of high-value handmade carpets requiring special handling and documentation.
- Monitor compliance with country-specific import requirements for carpets in the USA, Europe, UK, Canada, and other markets.
- Coordinate shipment consolidation for multiple customer orders to optimize freight costs.
Educational Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Logistics, International Business, or related field.
- Diploma/Certification in Export-Import Management, Logistics, Supply Chain, or International Trade preferred.
Experience
- 5–8 years of experience in export logistics, shipping, supply chain, or international trade.
- Minimum 3 years' experience in carpet, textile, handicraft, home furnishing, or export-oriented manufacturing industry preferred.
- Experience handling shipments to the USA, Europe, UK, Middle-East, Australia and other international markets.

Pay: ₹25,000.00 - ₹30,000.00 per month
