A Purchase Executive in an export company is responsible for sourcing materials/products from domestic and international suppliers, ensuring timely procurement, maintaining quality standards, and supporting export operations through efficient supply chain coordination. The role also involves handling import documentation, vendor management, and cost optimization.
Key Responsibilities1. Procurement & Sourcing
Identify, evaluate, and develop reliable domestic and international suppliers
Conduct market research to track pricing, availability, and trends
Source materials/products as per export order requirements
2. Vendor Management
Maintain strong relationships with suppliers and vendors
Evaluate supplier performance on quality, cost, and delivery timelines
Negotiate contracts, pricing, and delivery terms to achieve cost efficiency
3. Purchase Order Management
Prepare and issue Purchase Orders (POs)
Track order status and follow up for timely delivery
Maintain accurate procurement records, invoices, and documentation
4. Import & Export Coordination
Handle import procurement aligned with export requirements
Coordinate with logistics, freight forwarders, and clearing agents
Manage import/export documentation such as:
Commercial Invoice
Packing List
Bill of Lading
Certificate of Origin
5. Compliance & Documentation
Ensure compliance with international trade regulations and customs procedures
Maintain proper documentation for audits and statutory requirements
Follow company procurement policies and standards
6. Inventory Management
Monitor stock levels and ensure availability to avoid delays
Coordinate with production/sales team
Maintain optimal inventory levels to avoid excess or shortage
7. Cost Control & Analysis
Analyze purchase costs and suggest cost-saving opportunities
Compare supplier quotations and finalize best deals
Monitor budget and procurement expenses
8. Coordination & Reporting
Coordinate with Sales, Export, Finance, and Logistics teams
Prepare procurement MIS reports and purchase analysis
Update management on order status and supply issues
Required Qualifications
Bachelor’s Degree in Supply Chain / Commerce / Business Administration / International Trade
2–5 years of experience in procurement (preferably in export/import industry)
Knowledge of import-export procedures and documentation
Pay: ₹25,000.00 - ₹30,000.00 per month
