Roles & Responsibilities

Managing the payables function & analysing vendors’ contracts before passing bills.
- Checking to ensure that the purchase matrix & procurement process are followed while making payments.
- To ensure the smooth flow of documents from the time of receipt of the same from the procurement team till the time payment is made.
- For foreign remittances, make sure that all necessary papers are obtained from the vendor and shared with the tax consultants for obtaining the necessary forms from them
- Making sure that all statutory details are verified before the release of payments and informing the Accounts Manager in case of any deviations or other observations.
- Overall management of petty cash fund, actively finding ways & means of reducing the number and amount of cash transactions.
- Lending support in various Legal Cases for documentation and follow-up purposes.
- Complete monthly closing procedures and verify the Trial Balance, including assisting the Business Analyst for financial reporting to all stakeholders (actuals and annual forecast and cash flows by month).
- Prepare a tracker of Insurance coverages, AMC’s and Contract validity to track renewal dates and payments.
- Ensure that the respective Process Owner signs off on the deliverables under the AMC’s and contracts as to their satisfaction level and maintain related documentation.
- Overall responsibility for Fixed Assets Register, including Asset Tagging and Tracking.
- Assist with financial, tax and other audits as agreed by the management.
- Assist with preparing tax returns, statutory compliances and other reporting requirements.
- Assisting the management in taking informed discussions concerning cash management, fund management, budget compliance and safeguarding the institution's interest at all times.
- Assist with the annual budget process.
- Coordinating for Monthly, Quarterly, Half-Yearly and Annual MIS closure.
- Verification of PF challans and timely payment of the same.
- FCRA accounting and bookkeeping
- GST compliances
- Collating the various Schedules prepared by other departmental staff and making a common folder for verification before MIS is shared with the wider team.
- Gain in-depth understanding and knowledge of the current ERP System to guide other team members in existing and new proposed modules/software.
- Ad-hoc support to management on a requirement basis, as directed by the line manager.
