Position Summary
The Admin Executive will be responsible for managing day-to-day administrative operations, coordinating office activities, maintaining records and documentation, supporting sales and management teams, and ensuring smooth functioning of office and project administration.
Key ResponsibilitiesAdministrative Management
- Manage daily office administration activities efficiently.
- Ensure smooth functioning of office operations and facilities.
- Maintain office discipline and administrative procedures.
- Handle incoming calls, visitors, and correspondence professionally.
Documentation & Record Management
- Maintain customer files, agreements, booking forms, and legal documents.
- Organize and manage physical and digital records.
- Ensure proper filing and document retrieval systems.
- Maintain confidentiality of company and customer information.
Sales & Customer Support
- Coordinate with the sales team regarding inquiries, bookings, and documentation.
- Prepare booking forms, quotations, agreements, and customer records.
- Assist customers with required documentation and administrative support.
- Maintain customer databases and CRM records.
Vendor & Facility Management
- Coordinate with vendors, contractors, and service providers.
- Manage office supplies, stationery, and inventory requirements.
- Monitor housekeeping, security, and maintenance activities.
- Ensure proper upkeep of office and project site facilities.
Event & Banquet Hall Coordination
- Maintain banquet hall booking records.
- Coordinate booking schedules and customer requirements.
- Assist in event-related administrative arrangements.
- Ensure proper documentation and payment records for banquet bookings.
Reporting & Compliance
- Prepare daily, weekly, and monthly administrative reports.
- Support management in MIS and operational reporting.
- Ensure compliance with company policies and procedures.
- Assist management with audits and administrative reviews.
Required QualificationsEducation
- Graduate in Commerce, Business Administration, Management, or any relevant field.
Experience
- 2–5 years of experience in Administration.
- Experience in Real Estate, Hospitality, or Service Industry preferred.
