ROLE OVERVIEW
The selected candidate will be responsible for:
Client Coordination → Event Planning → Vendor Management → Artist Management → Production Coordination → On-Ground Execution → Event Closure
We are looking for someone who can plan, coordinate, negotiate, execute and solve problems independently.
KEY RESPONSIBILITIES:
1. Event Management & Execution
- Plan and execute events from concept to completion.
- Understand client requirements and convert them into an executable event plan.
- Coordinate with clients, venues, decorators, production companies, caterers, photographers, artists and other vendors.
- Prepare event timelines, schedules, checklists and production requirements.
- Conduct venue visits, site inspections and production meetings.
- Manage complete on-ground event execution.
- Supervise stage, sound, light, LED, décor, branding, hospitality and production requirements.
- Coordinate multiple vendors and teams simultaneously.
- Ensure all event activities are completed according to timelines and quality standards.
- Handle event-day emergencies and last-minute changes professionally.
- Maintain excellent communication with clients throughout the event.
- Travel for events whenever required.
2. Artist Management:
- Source and shortlist artists according to client requirements and budgets.
- Coordinate with singers, DJs, bands, performers, celebrities, comedians, anchors, influencers and other entertainers.
- Maintain and continuously develop a strong artist & agency network.
- Check artist availability and negotiate commercial terms.
- Negotiate artist fees, contracts, booking terms and payment conditions.
- Prepare quotations and coordinate booking confirmations.
- Manage artist schedules and performance timelines.
- Coordinate artist travel, accommodation, transportation and hospitality.
- Collect and manage technical riders and hospitality riders.
- Coordinate sound checks, rehearsals and performance requirements.
- Act as the primary point of contact for artists before and during events.
- Ensure artists arrive on time and all requirements are properly managed.
- Handle artist-related emergencies, cancellations or last-minute changes.
