Job Summary
The Executive Assistant to the Principal provides comprehensive administrative and executive support to ensure the efficient functioning of the Principal's office. The role serves as the primary point of coordination between the Principal, staff, parents, students, and external stakeholders while maintaining confidentiality and ensuring smooth day-to-day school operations.
Key ResponsibilitiesExecutive & Administrative Support
- Manage the Principal's calendar, appointments, meetings, and daily schedule.
- Coordinate and prioritize appointments, ensuring effective time management.
- Prepare meeting agendas, presentations, reports, and minutes of meetings (MOM).
- Draft and review official correspondence, circulars, letters, and emails on behalf of the Principal.
- Maintain confidential records, files, and documentation.
Coordination & Communication
- Act as the primary liaison between the Principal and internal/external stakeholders, including staff, parents, vendors, and regulatory bodies.
- Coordinate meetings with academic and administrative teams.
- Follow up on action items and ensure timely completion of tasks assigned by the Principal.
- Facilitate communication across departments to support smooth school operations.
School Operations
- Assist in planning and coordinating school events, parent orientations, assemblies, inspections, and special programs.
- Coordinate visits by guests, dignitaries, auditors, and education authorities.
- Monitor important deadlines, academic calendars, and statutory compliance schedules.
- Support the Principal in implementing school policies and administrative initiatives.
Documentation & Reporting
- Prepare reports, presentations, and data summaries for leadership meetings.
- Maintain records of approvals, circulars, and official communications.
- Organize and archive school documents in both digital and physical formats.
- Track correspondence and ensure timely responses.
Confidentiality & Compliance
- Handle sensitive information with the highest level of confidentiality.
- Ensure all official records and documents are maintained in accordance with school policies.
- Support accreditation, audits, inspections, and compliance-related documentation.
Qualifications
- Bachelor's degree in Business Administration, Commerce, Education, or a related field.
- A postgraduate qualification is an added advantage.
Experience
- 3–5 years of experience as an Executive Assistant, Executive Secretary, or Administrative Coordinator.
- Experience in a school or educational institution is preferred.
Skills Required
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- High level of professionalism and discretion.
- Excellent interpersonal and stakeholder management skills.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to prepare reports, presentations, and meeting minutes.
- Strong planning, coordination, and follow-up skills.
- Excellent attention to detail and problem-solving abilities
Pay: ₹30,000.00 - ₹40,000.00 per month
