POSITION OVERVIEW
Rivera Coil Manufacturing India Pvt Ltd is seeking a highly organized, professional, and trustworthy Admin & Personal Secretary to support management in administrative coordination, confidential documentation handling, communication management, scheduling, and office operations. The incumbent will be responsible for managing executive schedules, coordinating meetings, maintaining records, handling confidential correspondence, and ensuring smooth administrative functioning.
The role requires strong administrative expertise, communication skills, multitasking ability, and professional coordination experience within a corporate or manufacturing environment.
Experience
- Minimum 5 to 7 years of experience in Administration, Executive Coordination, and Personal Secretary role.
- Experience in manufacturing or corporate environment preferred.
Qualification
- Any Degree / MBA / BBA / B.Com/ CA Inter
- Strong knowledge in office administration and documentation handling preferred.
Preferred Candidate
- Both male and female candidates can also apply.
- Candidates with strong communication and organizational skills preferred
- Experience in executive coordination and confidential documentation handling required
- Proficiency in Microsoft Excel, Word, PowerPoint, and email communication preferred
KEY RESPONSIBILITIES
Administrative Management
❖ Handle day-to-day administrative and office coordination activities.
❖ Maintain office records, confidential documents, files, and reports systematically.
❖ Coordinate with departments for administrative and operational requirements.
❖ Manage office supplies, facility coordination, housekeeping, and vendor support activities.
❖ Ensure smooth functioning of office administration and support systems.
Personal Secretary Responsibilities
❖ Manage schedules, appointments, meetings, and travel arrangements for Management.
❖ Handle confidential correspondence, emails, reports, and official documents.
❖ Prepare meeting agendas, MOM (Minutes of Meeting), presentations, and reports.
❖ Coordinate and follow up on management instructions with various departments.
❖ Screen telephone calls, visitors, and communications professionally.
❖ Maintain confidentiality of sensitive business information and management discussions.
Communication & Coordination
❖ Communicate professionally with customers, vendors, employees, and external stakeholders.
❖ Coordinate meetings, business reviews, events, and management discussions.
❖ Draft professional letters, emails, office circulars, and internal communication documents.
❖ Ensure timely communication and follow-up of important business activities.
Documentation & Reporting
❖ Maintain accurate records of meetings, reports, approvals, and management communications.
❖ Prepare daily, weekly, and monthly MIS reports for management review.
❖ Organize and maintain digital and physical filing systems efficiently.
❖ Support management with data collection, presentations, and business reports.
Interdepartmental Coordination
❖ Coordinate with HR, Accounts, Purchase, Production, Logistics, and other departments.
❖ Monitor pending tasks and follow up for timely completion of management requirements.
❖ Assist in implementing administrative procedures and process improvements.
❖ Support management in handling operational and strategic administrative activities.
