- Multi-line Phone Management: Routing incoming calls efficiently using PBX or multi-line systems without leaving people on hold indefinitely.
- Calendar & Appointment Scheduling: Managing meeting room bookings and executive schedules via Google Calendar or Outlook.
- Visitor Logging: Tracking incoming and outgoing guests using digital visitor management systems (like Envoy or SwipedOn).
Technical & Software Proficiency
- Office Productivity Suites: Intermediate to advanced knowledge of Microsoft Office (Word, Excel) or Google Workspace (Docs, Sheets).
- Communication Platforms: Navigating internal messaging systems like WhatsApp Business.
- Data Entry Updating client files, contact databases, Managing Files.
Key Attributes & Soft Skills
- Multi-tasking Under Pressure: Successfully checking in a guest, answering a ringing phone, and accepting a package simultaneously.
- Discretion and Confidentiality: Safeguarding sensitive company data, client details, and executive schedules.
- Punctuality & Reliability: Ensuring the reception desk is opened, staffed, and operational exactly on time every day.
