Admin Executive / Admin Manager – HR & Administration
Location: Nungambakkam, Chennai (Corporate Office)
Factory Locations: Gummidipoondi & Coimbatore (Travel Required)
Salary: ₹35,000 per month onwards (Based on Experience)

We are manufacturing company with operations in Chennai, Gummidipoondi, and Coimbatore. We are looking for a highly organized, proactive, and execution-driven Admin Executive / Admin Manager to oversee Corporate Administration, Travel Management, HR Administration, Vendor Management, and Operations Support.
This is a challenging role for professionals who enjoy multitasking, taking ownership, and ensuring smooth day-to-day business operations.
Key Responsibilities- Travel & Visa Management
- End-to-end domestic and international travel management.
- Flight, train, bus, hotel, taxi, and airport transfer bookings.
- Prepare detailed travel itineraries for Management and employees.
- Handle business visa applications, passport renewals, invitation letters, embassy documentation, travel insurance, and immigration formalities.
- Coordinate with airlines, hotels, travel agencies, visa consultants, and foreign delegates.
- Maintain passport and visa validity trackers.
Travel Cost Optimization
- Negotiate corporate rates with airlines, hotels, and travel partners.
- Optimize travel expenses without compromising quality.
- Monitor travel budgets and prepare monthly travel MIS reports.
- Identify cost-saving opportunities across travel and administration.
Office Administration
- Manage day-to-day corporate office administration.
- Office maintenance, housekeeping, pantry, stationery, office supplies, and office assets.
- Ensure smooth functioning of all office facilities.
- Coordinate office repairs, AMC services, utility vendors, and maintenance schedules.
- Maintain clean, organized, and professional office premises.
Vendor Management & Procurement
- Identify, evaluate, negotiate, and finalize vendors.
- Coordinate procurement of office supplies, furniture, IT consumables, pantry items, and administrative requirements.
- Maintain vendor database, contracts, quotations, and renewal schedules.
- Ensure timely purchase, delivery, and payment coordination.
Vehicle & Transport Administration
- Coordinate company vehicles and drivers.
- Arrange local transportation for Directors, employees, customers, and visitors.
- Maintain vehicle records, fuel expenses, FASTag, insurance, servicing, permits, and PUC.
- Coordinate employee transportation whenever required.
HR Administration Support
- Coordinate employee onboarding and induction.
- Maintain employee files, attendance, leave records, and documentation.
- Support recruitment scheduling and interview coordination.
- Coordinate employee engagement activities and welfare initiatives.
- Assist HR in administrative documentation and compliance.
Executive & Office Coordination
- Manage calendars, meeting rooms, appointments, and conference arrangements.
- Coordinate Board Meetings, Management Meetings, Customer Visits, and Corporate Events.
- Handle incoming calls, official emails, courier management, and visitor management.
- Arrange accommodation and logistics for guests and business visitors.
Corporate Card & Expense Management
- Maintain corporate credit/debit card expense records.
- Verify travel bills, hotel bills, vendor invoices, and supporting documents.
- Submit expense reports with proper documentation.
- Coordinate with Finance for timely reconciliation and approvals.
MIS & Documentation
Prepare and maintain:
- Travel MIS
- Vendor Tracker
- Asset Register
- Admin Budget
- Office Maintenance Reports
- Vehicle Expense Reports
- Travel Expense Reports
- Procurement Tracker
- AMC Tracker
- Guest Visit Register
- Visa & Passport Tracker
Factory Administration Coordination
- Coordinate administration requirements for Gummidipoondi and Coimbatore manufacturing units.
- Travel to factories whenever required.
- Support accommodation, transportation, logistics, and vendor coordination for factory operations.
Process Improvement
- Improve administrative systems and workflows.
- Digitize administrative records wherever possible.
- Implement cost-saving initiatives.
- Suggest improvements to increase efficiency across administration and operations.
Must-Have Requirements
> Minimum 5+ years of experience in Administration, Corporate Services, or Office Administration.
> Experience in a Manufacturing Industry will be highly preferred.

> Must be available beyond regular office hours whenever business requires urgent travel bookings, visa processing, management support, or critical administrative work.
> Strong ownership mindset with a Go & Get Things Done attitude.

> Highly punctual, disciplined, dependable, and committed to delivering work on time.
> Positive attitude with a willingness to support business needs during critical situations. Candidates with a strong attendance record and dependable work ethic will be preferred.
> Good knowledge of Administration, Operations, Procurement, Vendor Management, MIS Reporting, Documentation, and Corporate Office Management.
> Excellent communication skills in English and Tamil. Knowledge of Hindi is an added advantage.
