- Visitor Management: Welcome, register, and direct guests to the appropriate person or department.
- Communication Hub: Answer, screen, and forward incoming phone calls, take messages, and route inquiries.
- Mail & Deliveries: Sort and distribute incoming mail, packages, and couriers, while assisting with outgoing correspondence.
- Schedule Management: Coordinate meetings, book rooms, and maintain daily calendars or appointment logs.
- Front Desk Upkeep: Keep the reception area clean, tidy, and fully stocked with required forms or office supplies.
- Administrative Support: Perform basic clerical duties, such as filing, data entry, photocopying, and scanning.
Required Skills & Qualifications
- Communication: Exceptional verbal and written communication skills with a warm, professional, and courteous demeanor.
- Multitasking: Ability to manage multiple phone lines, assist in-person guests, and handle competing priorities without losing composure.
- Technical Proficiency: Familiarity with office equipment (printers, scanners) and proficiency in software like Microsoft Office (Word, Excel, Outlook) and scheduling platforms.
- Problem Solving: Ability to remain calm and helpful under pressure, especially when dealing with last-minute schedule changes or frustrated visitors.
- Discretion: Ability to handle sensitive information with strict confidentiality.
