Job Summary: We are seeking a detail-oriented and proactive Office Administrator to join our team. The successful candidate will be responsible for managing the day-to-day operations of the business centre, ensuring smooth functioning of office facilities, and providing exceptional customer service to our clients.
Key Responsibilities:
- Front Office Management:
- Greet and welcome visitors, clients, and staff with a professional and friendly demeanor.
- Answer and direct phone calls, emails, and other communications promptly.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Administrative Support:
- Provide administrative support to the management team, including scheduling meetings, preparing reports, and handling correspondence.
- Maintain and update office records, databases, and filing systems.
- Coordinate and assist with office events, meetings, and conferences.
- Client Services:
- Address client inquiries and concerns promptly and professionally.
- Assist clients with office space reservations, setup, and troubleshooting.
- Maintain strong relationships with clients to ensure high levels of satisfaction and retention.
- Facilities Management:
- Oversee the maintenance and cleanliness of the office premises.
- Coordinate with vendors and service providers for office supplies, equipment maintenance, and repairs.
- Ensure all office equipment is functioning properly and arrange for repairs or replacements as needed.
- Financial Administration:
- Assist with basic bookkeeping tasks, including invoicing, expense tracking, and budget monitoring.
- Process and reconcile financial transactions, ensuring accuracy and compliance with company policies.
- HR Support:
- Assist with onboarding new employees, including orientation and training.
- Maintain employee records and handle basic HR administrative tasks.
- General Duties:
- Implement and enforce office policies and procedures.
- Continuously seek ways to improve office efficiency and workflow.
- Handle any additional tasks or projects as assigned by management.
Qualifications:
- High school diploma or equivalent; additional qualifications in Office Administration or related fields are a plus.
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
