Position OverviewThe Front Office Executive serves as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming environment. This role combines reception duties with administrative support to facilitate smooth daily operations at the corporate office.
Key ResponsibilitiesReception and Visitor Management
Greet and welcome all visitors, clients, and guests with professionalism and courtesy. Verify visitor credentials, issue visitor badges, and maintain the visitor log in accordance with security protocols. Notify employees of visitor arrivals and escort guests to meeting rooms when required. Manage conference room bookings and ensure meeting spaces are prepared with necessary equipment and refreshments.
Communication Management
Handle incoming calls professionally, routing them to appropriate departments or taking detailed messages. Manage the general email inbox and respond to or forward inquiries appropriately. Coordinate with various departments to ensure effective communication flow throughout the organization.
Administrative Support
Maintain and update employee attendance records and visitor registers. Handle incoming and outgoing courier services, mail distribution, and package tracking. Manage office supplies inventory and coordinate with vendors for replenishment. Prepare and distribute internal communications, memos, and announcements. Assist in organizing company events, meetings, and employee engagement activities.
Office Coordination
Coordinate with housekeeping and maintenance teams to ensure the reception area and common spaces are clean and well-maintained. Manage vendor relationships for pantry supplies, stationery, and office equipment. Support HR team with onboarding documentation and employee ID card issuance. Maintain filing systems for administrative documents and correspondence.
Technology and Systems
Operate switchboard, EPABX systems, and visitor management software. Maintain digital records using MS Office applications and company management systems. Coordinate IT support requests for front office equipment and systems.
Required QualificationsEducation: Bachelor's degree - Preferred Hospitality
Experience: 2-4 years of experience in front office, reception, or administrative roles, preferably in a corporate environment
Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), visitor management systems, and basic office equipment operation
Language Skills: Excellent verbal and written communication skills in English; additional language proficiency is an advantage
