Chief of Staff to the Dean (Academic Affairs)
Location: Vijaybhoomi University, Karjat (Greater Mumbai)
Role Purpose
The Chief of Staff to the Dean (Academic Affairs) serves as the Dean's strategic associate, ensuring seamless execution of academic priorities, institutional initiatives, and governance processes. The role acts as the central coordinating office for academic administration, learner success, cross-functional collaboration, and institutional effectiveness, enabling the Dean to focus on academic leadership and innovation.
Key Responsibilities
1. Strategic Planning & Institutional Execution
- Assist the Dean to translate strategic priorities into actionable plans.
- Drive execution of institutional initiatives, academic transformation projects, and new programme launches.
- Coordinate implementation of key academic and operational decisions across Schools and administrative units.
- Track institutional priorities through dashboards, milestones, and performance reviews.
- Prepare strategic briefs, presentations, reports, and decision notes for the Dean and senior leadership.
- Facilitate rapid resolution of cross-functional issues requiring executive intervention.
2. Academic Governance & Institutional Quality
- Coordinate preparation and execution of the University's Academic Calendar.
- Support the functioning of Academic Council, Board of Studies, Curriculum Committees, and other academic governance bodies.
- Prepare agenda papers, minutes, compliance reports, and action trackers for governance meetings.
- Coordinate approval processes for new programmes, curriculum revisions, dual-degree pathways, practice courses, academic regulations, and policy changes.
- Ensure timely implementation of decisions taken by academic and statutory committees.
- Strengthen coordination among Schools, Registry, Admissions, International Office, Examination Cell, and Student Affairs.
3. Learner Success & Academic Effectiveness
- Lead university-wide learner success initiatives from admission through graduation.
- Serve as a central escalation point for resolving learner issues requiring cross-functional coordination.
- Monitor student retention, progression, attendance, academic performance, graduation readiness, and overall learner experience.
- Coordinate academic advising, mentoring, and learner engagement initiatives across Schools.
- Develop institutional dashboards for monitoring student success indicators and academic quality metrics.
- Recommend interventions for improving student outcomes and institutional effectiveness.
4. Cross-functional Coordination & Operational Excellence
- Serve as the operational bridge between academic leadership and administrative functions.
- Coordinate execution across Admissions, Academic Operations, Registrar, Examination Office, International Relations, Student Affairs, Marketing, Finance, IT, and HR.
- Track institutional commitments, deliverables, timelines, and ownership.
- Drive project management for strategic initiatives using structured review mechanisms.
- Improve efficiency through process redesign, standardisation, automation, and continuous improvement.
Desired Profile
- Postgraduate degree from a reputed institution.
- 5–10 years of experience in higher education, consulting, academic administration, institutional planning, or programme management.
- Strong understanding of university governance, academic regulations, curriculum management, and quality assurance.
- Exceptional analytical, organisational, project and process management, and communication skills.
- Demonstrated ability to manage multiple stakeholders and complex institutional projects.
- High degree of professionalism, discretion, and execution capability.

Pay: ₹50,000.00 - ₹70,000.00 per month
